1. Automatically Mark Missed Appointments

When this feature is enabled, the system will automatically update the status of an appointment to "Missed" after a set duration—15, 30, or 60 minutes past the scheduled time.

2. Missed Appointment Notifications

Enable this setting to send automated text notifications to patients who miss their appointments.

You can choose when the text message is sent:

  • 📍 After the first missed appointment of the day

  • 📍 After the last missed appointment of the day

  • 🚫 Never (if you prefer not to send automated messages)

📝 Customizable message templates for missed appointment notifications can be created and managed in the Reminder Templates section.


Virtual Waiting Room

Overview

  • This feature was introduced during Covid to allow patients to wait in their vehicles until it is their turn to enter the office.

  • Particularly useful for maintaining social distancing and managing patient flow efficiently.

How It Works

  1. If enabled, when a patient arrives, they must text the word “WAIT” to check-in.

  2. After confirming their appointment via text, they will receive an automatic message instructing them to remain in their vehicle.

  3. The system places them in a queue and will notify them when it is their turn to enter.

  4. The queue is managed based on the number of patients before them.

    • Example: If the limit is set to 3 people, the patient will be called in once the appointment in front of them is marked as Treated.
