🧾 Types of Reminder Templates

Reminder Templates are pre-configured, automated text messages sent without requiring manual intervention. These messages are fully customizable.

📌 To disable a specific reminder, remove the text verbiage and leave the field blank.


❌ Missed Appointment

Trigger: When the Missed Reminders feature is enabled and ChiroHD marks an appointment as missed (automatically only).


Default Message:
"Hello {{PATIENT_NAME}}, we missed you today. Please contact us to reschedule."


📵 Phone Number Not Found

Trigger: When a patient sends a message but their number is not linked to any patient profile.


Default Message:
"We are sorry! We do not recognize your phone number! Please call us at {{LOCATION_PHONE}}"


📲 Text-Checkin

Trigger: Patient texts “Here” after confirming their appointment.


Default Message:
"Thank you, you have been checked in."


❓ Text-Checkin – No Appointments

Trigger: Patient texts “Here” but has no scheduled appointment or has not confirmed it.


Default Message:
"You have no appointments scheduled for today."


❓ Appointment Confirm – No Appointments

Trigger: Patient texts “Yes” without a valid appointment.


Default Message:
"You have no appointments to confirm."


✅ Appointment Confirm – Success

Trigger: Patient confirms via recognized response (“Yes”) after receiving a reminder.


Default Message:
"Thank you {{PATIENT_NAME}}, your appointment has been confirmed. Once you arrive, you can text 'here' to check in."


🚗 Appointment Confirm – Virtual Waiting Room

Trigger: Virtual Waiting Room feature enabled and patient confirms appointment.


Default Message:
“Thank you, {{PATIENT_NAME}}! Your appointment has been confirmed. Once you arrive, please text ‘Wait’ to remain in your car until the office is ready for you, or text ‘Here’ to check in normally.”


👨‍👩‍👧 Family Message – Pre-Appointments

Trigger: Sent to the Head of Household when the family tab is set and “Text Head of House” is selected.


Default Message:
“Hello, {{PATIENT_NAME}}! Please review your family’s appointments:”


👨‍👩‍👧 Family Message – Post-Appointments

Trigger: Sent after the pre-appointment family message.


Default Message:
"Reply with 'yes' to confirm all appointments."


❌ Appointment Deny

Trigger: Patient responds with a recognized “No” response to cancel appointment.


Default Message:
"Thank you {{PATIENT_NAME}}, the office has been notified that you can't make your appointment."


🚙 Virtual Waiting Room – Wait

Trigger: Patient arrives and texts “Here” while waiting in their car (Virtual Waiting Room enabled).


Default Message:
"The office has been notified you have arrived, you will receive another text when they are ready for you."


✅ Virtual Waiting Room – Ready

Trigger: It’s the patient’s turn to enter the office.


Default Message:
"The office is ready to see you, please come in."


🌐 Language Support

  • All templates are available in English and Spanish

  • Default Spanish templates are only translations of the original English system text

  • 🛠️ If you customize the English template, you must manually update the Spanish version

  • Spanish reminders are only sent to patients with Spanish as their preferred language in their profile
