Overview

Text reminders in ChiroHD help ensure patients receive timely notifications about their appointments. This guide walks you through setting up text reminders, configuring templates, and scheduling message delivery times.


1. Accessing the Text Reminder Configuration

  1. Log into ChiroHD and navigate to your live location.

  2. Go to Settings > Office > Office Configuration.

  3. Click on "Scheduled Reminders".

4. Click "Add Text Reminder Schedule".

  • If this option is unavailable, navigate to Settings > Initial Setup > Integrations > Twilio.

  • Enter your area code to select a texting phone number.

  • Complete the A2P Registration process as required by FCC regulations. See the ChiroHD Academy Twilio Lesson for further details.

2. Creating a Reminder Schedule

  1. Click "Create" or select a previously created template from the Reminder Preset Search Field.

    • If you have never created a template, this field will be empty.

  2. Name your preset.

3. Selecting Appointments for Reminders

  1. Choose which appointments should receive reminders:

    • Haven’t been sent a reminder yet: Sends only if a patient has not received a reminder.

    • Haven’t responded to a previous reminder: If a patient received a text but hasn’t responded, the system triggers another at a set time.

  2. Select Appointment Types for reminders. Leaving this blank sends reminders for all appointment types.

  3. Choose Appointment Statuses to receive reminders.

    • If you want confirmed patients to receive an additional reminder, select Scheduled and Confirmed.

4. Customizing Your Text Reminder Template

  1. Click Preview to see how the message will appear.

  2. Customize the message using Macros:

    • Ensure macros are copied and pasted correctly.

  3. Click Save after adding personalized text.

  4. Update the Spanish template manually, as the system does not auto-translate messages.

  5. Save the final template by clicking the green submit button in the bottom right.

5. Scheduling Text Reminders

  1. Choose when to send reminders:

    • Send at a specific time of day.

    • Send a set number of hours before the appointment.

  2. If using "X Days Before" and "At Hour of Day," both fields must be completed.

  3. Determine the exact time for delivery.

  4. To send reminders a specific number of hours before an appointment, use "OR X Hours Before". Enter "24" if setting reminders for 24 hours before an appointment.

6. Managing Reminder Schedules

  1. Pausing a Template:

    • Instead of deleting, temporarily inactivate a template when needed.

  2. Sending Multiple Reminders:

    • To send reminders at both 24 hours and 2 hours before an appointment, click "Add Text Reminder Schedule" again.

  3. Select the template under the Reminder Preset Column. Click into "Or X Hours Before", enter the number of hours, and leave the status Active.

  4. Save your work.
