Office Configuration - Scheduled Text Reminders

Set up, customize, and schedule patient text reminders to improve communication and reduce no-shows.

📝 Overview

Text reminders in ChiroHD help ensure patients receive timely notifications about their appointments. This guide walks you through setting up text reminders, configuring templates, and scheduling message delivery times.


1. Accessing the Text Reminder Configuration

  • Navigate to your Live Location > Settings > Office > Office Configuration.

  • Click on Scheduled Reminders.


2. Creating a Reminder Schedule

  • Click Add Text Reminder Schedule.

    NOTE: If this option is unavailable, navigate to Settings > Initial Setup > Integrations > Twilio to set up your Twilio Texting Integration.

  • Click Create or select a previously created template from the Reminder Preset Search Field

  • Fill out the Text Reminder Presets

  • Name your Preset.

  • Select Appointments to Text. Choose which appointments should receive reminders:

    • Haven't been sent a reminder yet:

      • Sends a reminder only to patients who have not yet received any reminder for their appointment.

      • Best used for initial reminder setups.

      • Will not resend if a patient has already received a reminder. Sends only if a patient has not received a reminder for the appointment.

    • Haven't responded to a previous reminder:

      • Targets patients who have received a reminder but have not responded (e.g., confirmed or canceled).

      • Sends a follow-up reminder at a scheduled time.

      • Not recommended as the first reminder for an appointment.

    • Haven't been sent OR haven't responded to a previous reminder:

      • Covers both scenarios:

        • Sends to patients who haven’t received a reminder at all.

        • Also sends to those who have received but haven’t responded.

      • Best "catch-all" option—ideal for ensuring every patient either gets a first reminder or a gentle nudge to respond.

    • Everyone, regardless of previous responses:

      • Sends a reminder to all patients scheduled, even if they've already confirmed or responded.

      • A good option if you prefer that every patient receives a second reminder, regardless of their response history.

  • Select Appointment Types for reminders.

    NOTE: Leaving this blank sends reminders for all appointment types

  • Choose Appointment Statuses to receive reminders


    NOTE: If you want confirmed patients to receive an additional reminder, select Scheduled and Confirmed

  • Customizing Your Text Reminder Template

  • Click Preview to see how the message will appear

  • Customize the message using Macros:

    • Ensure macros are copied and pasted correctly

    • Click Save after adding personalized text

  • Update the Spanish template manually, as the system does not auto-translate messages.

  • Save the final template by clicking the green submit button in the bottom right.


3. Scheduling Text Reminders

Choose when to send reminders:

  • Send at a specific time of day

  • Send a set number of hours before the appointment

If using "X Days Before" and "At Hour of Day," both fields must be completed

Determine the exact time for delivery

To send reminders a specific number of hours before an appointment:

  • Use "OR X Hours Before"

  • Enter "24" if setting reminders for 24 hours before an appointment


4. Managing Reminder Schedules

Pausing a Template:

  • Instead of deleting, temporarily inactivate a template when needed

Sending Multiple Reminders:

  • To send reminders at both 24 hours and 2 hours before an appointment:

    • Click "Add Text Reminder Schedule" again

    • Select the template under the Reminder Preset Column

    • Click into "Or X Hours Before," enter the number of hours, and leave the status Active

  • Save your work
