Overview

The Gray Text Reminders Button in ChiroHD allows users to manually send appointment-related text messages to patients. This is ideal for:

  • Sending unscheduled or one-off reminders

  • Communicating custom messages outside of your automated reminder schedule


🔐 User Permission Requirements

To access and use the Gray Text Reminders Button, the user must have Text Reminder permissions enabled.

✅ How to Check User Permissions:

  1. Go to Settings > Users

  2. Click on the user’s name

  3. Navigate to Permissions

  4. Confirm that Text Reminders is enabled

🚫 Note: Users without this permission will not see the Gray Button or the Send Text Reminder option in the calendar dropdown menu.


📅 Accessing the Gray Button

  • Navigate to your calendar view

  • Locate the gray “Text Reminders” button in the top-right corner

Clicking this button opens the manual text reminder interface.


⚙️ Default Text Reminder Settings

  • The manual reminder screen will display a default preset message by default.

  • Any edits made in this screen are not saved for future use.

  • To save custom messaging for future use, create a Preset Reminder (see below).


📤 How to Send a Manual Text Reminder

1. Using the Gray Button:

  1. Click Text Reminders

  2. Select the date for which you want to send reminders

  3. Choose a preset reminder or create a new one

  4. Select a specific patient, or leave blank to target all patients that match your criteria

  5. Adjust appointment types and statuses as needed

  6. Customize the message in the English Appointment Template
    (Do not alter macro formats to ensure functionality)

  7. Preview your message

  8. Click Submit to send


2. Creating a Preset Reminder (For Reuse)

  1. Click Create Preset

  2. Assign a name (e.g., “X-Ray Ready”)

  3. Define conditions:

    • Patients who haven’t received a reminder

    • Specific appointment types or statuses

    • Custom verbiage (must be HIPAA compliant)

  4. Click Save

Your preset will now appear in the dropdown list for future use.


3. Sending a Manual Reminder to an Individual Patient

  1. In the calendar view, locate the patient’s appointment

  2. Click the dropdown menu next to the patient’s name

  3. Select Send Text Reminder

  4. Choose a preset reminder

  5. Click Submit


📌 Customization & HIPAA Compliance

  • All manual reminder messages can be edited for clarity or tone.

  • Default templates provided by ChiroHD are HIPAA compliant.

  • If you create or modify message content, it is your office’s responsibility to ensure it remains compliant with HIPAA regulations.
