Reminder Options

1. Automatically Mark Missed Appointments

  • When enabled, this feature will automatically change the status of a missed appointment to Missed after 15, 30, or 60 minutes.

  • This helps ensure your schedule remains accurate and updated without manual intervention.

2. Missed Appointment Notifications

  • This setting allows the system to send an automated Missed Appointment Text Message.

  • You can choose when the message is sent:

    • After the first missed appointment of the day.

    • After the last missed appointment of the day.

    • Never (if you do not want an automatic notification).

  • Custom templates for missed appointment reminders are available in the Templates section.


Virtual Waiting Room

Overview

  • This feature was introduced to allow patients to wait in their vehicles until it is their turn to enter the office.

  • Particularly useful for maintaining social distancing and managing patient flow efficiently.

How It Works

  1. If enabled, when a patient arrives, they must text the word “WAIT” to check-in.

  2. After confirming their appointment via text, they will receive an automatic message instructing them to remain in their vehicle.

  3. The system places them in a queue and will notify them when it is their turn to enter.

  4. The queue is managed based on the number of patients before them.

    • Example: If the limit is set to 3 people, the patient will be called in once the appointment in front of them is marked as Treated.
