The Trends Dashboard in ChiroHD provides insights into various office metrics over different periods. This guide explains how to navigate the dashboard, use its features, and understand the key terms and metrics displayed.
Accessing the Trends Dashboard
Navigate to your live location in ChiroHD.
Select Reporting > Reporting Dashboards > Trends.
Note: The word "beta" next to a feature indicates that it is new and currently being tested. Expect updates and changes as we refine these features.
Using the Date Selector
You can analyze data on a weekly, monthly, or yearly basis. To set your date range:
Use the quick date selector to choose preset ranges (e.g., last 30 days, last month).
Manually adjust the start and end dates if needed.
When using the quick date selector, the start and end dates will update automatically.
Key Metrics Explained
The following metrics are displayed on the Trends Dashboard:
Total Income
Displays the total revenue over the selected date range, representing your office's collections.Insurance Collections
Shows the amount collected from insurance companies through posted EOBs. Payments must be posted via the EOB posting screen to be included.Refunds
Lists the total refunds processed during the selected date range.
Understanding Visit and Encounter Definitions
ChiroHD has standardized how it tracks visits and encounters:
Visit: A single date of service for a patient. A patient will have only one visit per day, regardless of how many charges or encounters they receive on that day.
Encounter: Based on individual charge services configured as encounters. A patient can have multiple encounters in a single day, but only one visit.
Example: If a patient receives an adjustment, massage, and stretch therapy appointment on the same day:
Each service (adjustment, massage, stretch) is an encounter.
The patient has one visit for that day.
Metrics Based on Visits and Encounters
Income per Visit/Encounter: Displays total income divided by total visits (single dates of service) or total encounters (individual charges).
Charges per Visit/Encounter: Provides total charges divided by total visits or encounters. Users can select their preferred view.
Configuring New Patient Metrics
The New Patient metric identifies charges matching the new patient criteria set in the System Configuration. To ensure accurate new patient metrics, navigate to your System Dashboard > System Settings > System Configuration > Tracking and Reporting. Only list services that count as a new patient exam. Do not include services like x-rays or adjustments, even if they are part of the new patient appointment, as this will skew your metrics.
Understanding NP, INP, and ENP
The Trends Dashboard introduces specific terms to indicate the level of patient commitment:
NP (New Patient)
A patient with a new patient encounter in the selected date range.INP (Interested New Patient)
A patient whose second visit after the new patient appointment falls within the date range. This tracks when they reach the milestone of their second post-new patient visit, regardless of when the earlier visits occurred.ENP (Established New Patient)
Similar to INP, but tracks the fifth visit after the new patient appointment. This helps identify patients who have returned multiple times, indicating a stronger level of commitment.
Note: These metrics do not define "converted" or "committed" patients based on individual office criteria. They follow standardized definitions to show new, interested, and established patient trends.
Viewing and Interpreting Data
Hover over the bars on the Trends Dashboard to view counts for each category, including New Patients, Interested New Patients, and Established New Patients. This feature provides a clear breakdown of your patient base.
