ERA 4 - Processed ERAs, EOB Review & Posting

Learn what happens after an ERA processes successfully, how to review the EOBs it creates, and how to finalize and post them to patient ledgers.

In this guide, we will cover processed ERAs in ChiroHD: what a processed ERA is, how it is created, how to view the EOBs generated from a processed ERA, the steps to review and finalize those EOBs, and the key features available on the EOB screen. Use this as a reference for efficiently handling ERA-driven payments within ChiroHD.


What is a Processed ERA?

A Processed ERA is a file ChiroHD successfully read and converted into one or more EOBs. Each insurance check inside the ERA becomes its own EOB β€” and those EOBs move into the Pending EOBs section of the Insurance Dashboard, where your team reviews and finalizes them.

The Processed tab in the ERAs section is a reference view. It shows all ERA files that were successfully converted so you can look up historical files when needed.

Two reminders that carry through this entire workflow:

  • One check = one EOB. A single ERA file can contain multiple checks, and each becomes its own EOB.

  • ChiroHD allocates payment information automatically β€” it does not post automatically. Nothing posts to a patient's ledger until your team finalizes the EOB.


Viewing a Processed ERA

On the Processed tab of the ERAs section, each row has a View EOBs button. Clicking it opens the EOBs relating to ERA modal, which lists every EOB generated from that specific ERA file.

Each EOB in the modal shows:

  • Check Number

  • Check Amount

  • Memo

  • Manually Entered (flag)

  • Finalized (flag)

  • Posting Date

  • Marked Incorrect (flag)

  • Marked Incorrect Reason

EOBs flagged as incorrect are highlighted in a warning state so they're easy to spot.


Reviewing and Posting an EOB

All EOBs waiting for review live in the Pending EOBs section of the Insurance Dashboard.

  • Find the EOB you want to work on and click Review and post EOB.

  • If you see Resume instead, that's a manually created draft EOB without an attached ERA file β€” the flow is the same.
    ​

  • Clicking Review and post EOB or Resume will open the EOB posting screen.

For ERA-generated EOBs, ChiroHD automatically fills in:

  • Payer name

  • Service date range

  • Payment type (defaults to Insurance Check β€” update this if the payment came in a different form)

  • Check number and check date

  • Check amount

  • Line-item allocations for each patient and service

The Memo field must be filled in manually β€” it is not pre-filled from the ERA.


Additional Features on the EOB Posting Screen

Duplicate Check Number Warning β€” if the check number you entered already exists on a finalized EOB in the system, ChiroHD will display a warning before you can finalize. The warning shows the posting date, check amount, and the user who posted it. Review this carefully before proceeding.


​Unlock all line items β€” a toggle on the posting screen that unlocks all line items at once. Useful when you need to adjust how allocations were distributed across services on an ERA-generated EOB, where some line items may be locked after auto-allocation.

Save β€” saves your in-progress work and returns the EOB to the Pending EOBs queue. Nothing posts to a patient's ledger when you click Save β€” that only happens when you click Finalize.


​Delete β€” available only on manually created pending EOBs. ERA-generated pending EOBs cannot be deleted. For those, your options are Review and post EOB, Save, or Mark as manually entered.


​Column Config (gear icon) β€” if your office has column configurations set up, a gear icon appears on the posting screen to control which columns display and in what order. This icon only appears when configurations exist, so some users will see it and some won't.

​Summary β€” shows every patient on the EOB in a scrollable view. Useful when an EOB covers a large number of patients.


​Mark Incorrect β€” use this to flag an allocation issue for ChiroHD's review. A few important things to know:

  • Flagging an EOB as incorrect does not fix the allocation and does not pause processing.

  • You are still responsible for correcting the issue β€” either on the posting screen directly or by updating a custom reason code behavior and reprocessing the ERA.

  • Be as specific as possible when entering the reason.

  • Once marked, the button changes to Mark Correct if you need to undo the flag.

  • ERA-linked EOBs that are marked incorrect will show an Attempt reprocess from ERA button in the Pending EOBs queue, which lets you re-run the ERA processing after you've addressed the underlying issue.


​Finalize β€” posts the EOB. All pre-filled and edited data goes onto patient ledgers and your collections are updated. Once finalized, the EOB is no longer pending and moves to EOB History.


EOB History

Once EOBs are finalized, they appear under EOB History in the Insurance Dashboard navigation. EOB History has two tabs:

  • EOB History β€” the current experience for EOBs posted through the Process EOB tab.

  • EOB History (Legacy) β€” EOBs posted through the Process EOB (Legacy) flow
    ​

  • Use the matching EOB History tab based on the Process EOB tab you used.
    For example, if you processed the EOB using the Process EOB (Legacy) tab, the EOB will appear in the EOB History (Legacy) tab. Likewise, EOBs processed using the current Process EOB tab will appear in the corresponding EOB History tab.

  • If you are looking for an EOB, start in the main EOB History tab since that will show your most recent EOBs. If you can't find an EOB there, check EOB History (Legacy).

  • EOBs posted through the Process EOB (Legacy) flow cannot be edited in the new EOB editing experience. This is expected behavior β€” no backfill is planned.
