πŸ—“οΈ Plan for up to 3-4 days for all setup to be fully complete.

Stage 1 - πŸ“§ Get Ready for your SKED Transfer Kickoff Call!

After your Transfer Kickoff Zoom call is scheduled you will receive an email outlining your first steps.

πŸ“Œ The 3-4 window referenced in your transfer email refers to the time you should allow after migration for the full setup to be completed - not a countdown to migration itself.

Stage 2 - πŸ–₯️ Attend your SKED Transfer Kickoff Zoom Call

On this Zoom call, you will meet your dedicated Transfer Specialist, review the process, and outline what's needed from you and your patients.

🚨 Be sure to have your calendar ready to schedule your Transfer Review Call!

Stage 2 β€” Your Pre-Migration Homework

Before your migration date, you will need to ensure the following modules within your ChiroHD Setup Course are complete:

  • βœ… All calendar users are added in ChiroHD

  • βœ… All appointment types are finalized in ChiroHD

πŸŽ—οΈ These must be done before your Transfer Call to avoid rescheduling. If appointment types or users are missing, your new SKED account won't be set up correctly.

Optional - Notify Your Patients

Before migration, we recommend sending a message to your patients from your current SKED account letting them know your office is switching EHR systems and that they'll need to re-register for the SKED app once the new account is active.

Stage 3 - πŸ“‹ Migration & Behind-the-Scenes Setup

Once your ChiroHD migration occurs, your SKED Specialist gets to work behind the scenes. You don't need to do anything during this stage - but here's what's happening:

  • Your previous messages, form templates, saved schedules, and automations are transferred to your new account

  • Appointment types are assigned to the appropriate reminders

  • Your provider schedule is configured

  • Your new account is prepared for your Transfer Review Call

⏳ This setup takes at least a day or two, which is why your Transfer Call is scheduled the day after migration rather than the same day.

Stage 4 - πŸ–₯️ Your Transfer Review Zoom Call

Your Transfer Call is a short but important call with your SKED Specialist. During this call, you'll review:

  • Office hours - confirming they are correct in the new system

  • Appointment types - reviewing what's set up and confirming accuracy

  • Provider schedule - confirming scheduling rules are correct

  • New patient portal - reviewing setup and access

  • Messaging - confirming automated messages and templates are in place

  • Patient re-registration - your specialist will walk you through how patients will re-register for the SKED app

You may also receive homework after this call depending on your office's specific setup - for example, cleaning up unused appointment types or identifying which patient portals to keep (especially relevant for larger offices with multiple locations).

Stage 5 - βœ… Post-Transfer Steps

After your Transfer Review Call, a few final steps take place to get your office fully live:

  • πŸ“ž Phone number is switched to your new SKED account

  • πŸ“² Patient re-registration message is sent - patients will receive instructions to re-register for the SKED app under your new account. This can be sent by your SKED specialist or by your office, depending on your preference.

  • βœ… Features are turned on based on your confirmed go-live date

😎 Tips for a Smooth Transfer

  • πŸ‘₯ Include key staff on your Transfer Kickoff Call, especially anyone who manages scheduling or patient communications.

  • πŸ“‹ Complete your ChiroHD homework early - calendar users and appointment types must be finalized before your Transfer Review Call.

  • πŸ“… Plan ahead - allow up to one week after migration for everything to be fully set up.

  • πŸ’¬ Communicate with your patients - sending a heads-up before migration reduces confusion about the re-registration process.
