Referral sources are vital for understanding how new patients find your practice. Whether they come through internal referrals, community events, or digital platforms, tracking these sources in ChiroHD helps with strategic planning and budget optimization. This guide outlines how to set up and manage referral sources effectively.


Setting Up Referral Sources

  1. Navigate to the System Dashboard.

  2. Click on: System Settings > Referral Sources.

  3. Create new sources tailored to your practice:

    • Examples: yoga events, internal referrals, Facebook, Instagram, etc.

  4. ChiroHD’s flexible setup allows customization to meet your clinic’s needs.


Referral Source Categories

Differentiate your sources for clearer insights:

  • Internal Sources: Patient-to-patient referrals or employee referrals.

  • External Sources: Events, community talks, or digital platforms such as Facebook and Instagram.

Categorizing these sources helps streamline and simplify your tracking.


System Configuration

  1. Access System Configuration.

  2. Toggle on the "Referral Type Required" option.

    • Purpose: Ensures that a referral source is entered when scheduling a new patient.

    • Benefit: Promotes accurate data collection from the outset.


Location-Specific Referral Sources

  • Customize Referral Sources at the Location Level:

    • Navigate to: Settings > Referral Sources.

    • Create and manage sources specific to each location’s needs.

  • This customization ensures that each location can tailor referral tracking to suit their operations.


Deactivating Referral Sources

  • If a referral source becomes outdated or inactive, mark it as inactive rather than deleting it.

  • Important Note: Referral sources tied to a patient’s history cannot be deleted, only inactivated.

  • To view inactive sources, click “Show Inactive” in the Referral Sources section.


Reporting and Analysis

  1. Access Referral Source Data:

    • Go to: Location > Reporting > Simple Reporting > Statistics.

    • Run the "Marketing Analysis" report for a detailed overview.

  2. Understand the Data:

    • The report shows the number of new patients associated with each referral source.

    • This aids in assessing the impact of different marketing strategies.

Note: The report is based on charges, not appointment types. Ensure that new patient charges are configured in System Settings for accurate financial analysis.
