📝 Overview
ChiroHD now includes a dedicated receipt feature for patient payments. When a patient pays and needs documentation of that transaction, you can produce a clean, professional receipt in seconds. Receipts capture the payment details, a timestamp, and the staff member who processed the transaction — making them useful for both patient records and internal auditing. You can access a receipt immediately after running a payment or at any time afterward from the ledger or patient snapshot.
Accessing Patient Receipts
Receipts are available in three places within ChiroHD:
From the Ledger — Navigate to the patient's ledger. Locate the payment row and click the printer icon (🖨️) to open the receipt.
From the Patient Snapshot — Open the patient snapshot and click the printer icon associated with the payment.
Immediately After Running a Payment — Once you submit a payment, you will have an option to check the box "Show receipt after payment", giving you the option to print, email, or download it right away.
NOTE for Fortis card payments: If your clinic uses the Fortis integration and a card is run through the Fortis payment window, the receipt may not appear immediately — even with "Show receipt after payment" checked. Fortis typically takes a minute or two to post the payment back to ChiroHD. Once it lands, staff can open the receipt using the printer icon on the patient's ledger or snapshot. Cash, check, and other non-Fortis payment types open the receipt right away.
Printing, Emailing, or Downloading a Receipt
Once a receipt is open, you have three options for delivering it:
Print — Opens a standard print dialog to print the receipt directly.
Download — Saves the receipt as a PDF to your device.
Email — Sends the receipt as a PDF attachment through ChiroHD's email system.
The To field auto-populates with the patient's email address on file, and you can add a short message before sending.
NOTE: Before you click Send Receipt, double-check that the patient's email address is correct, since a receipt sent to the wrong address could expose the patient's PHI and create a HIPAA issue for your practice.
No trigger setup is required — it uses ChiroHD's built-in emailing system. Please see the section below on how receipt emails are protected.
NOTE: Texting receipts is not currently available but will be added in a future release.
What's on the Receipt
Every receipt includes:
Clinic name and contact info
Payment details — amount collected, receipt number, the card brand and last 4 digits (or cash/check). Receipts reflect the payment only — they do not show the individual services or charges the payment was applied to.
Timestamp — the date and time the payment was processed
Processed by — the ChiroHD user who was logged in and ran the payment (useful for auditing)
Patient's full name
The receipt layout is not customizable at this time — all fields are fixed.
Split Payment Receipts
If a payment was split across multiple family members' accounts, the receipt reflects this automatically:
The total amount charged is shown at the top.
An allocation summary breaks down how the funds were distributed across each patient's account.
The receipt you download or print in the app shows the other patients' actual names, but the emailed copy shows them as "Another patient." This protects family members' privacy, since the email lands in a personal inbox.
No additional steps are needed — ChiroHD detects the split and formats the receipt accordingly.
How Receipt Emails Are Protected
Here's how a payment receipt is handled when you email it to a patient, including what's protected, what isn't, and what's on the receipt.
In transit
ChiroHD to our email provider (SendGrid): The receipt is sent over an encrypted connection (HTTPS).
SendGrid to the patient's mail server: The email is encrypted with TLS whenever the patient's mail server supports it. Gmail, Outlook, Yahoo, and the other major providers all do.
At rest
ChiroHD doesn't store the receipt. The PDF is built when you click Send, attached to the email, and then discarded. No copy is saved in ChiroHD's database or file storage.
After sending, copies exist in the patient's mailbox and in SendGrid's delivery systems, which keep them under SendGrid's retention policy.
The PDF itself
The PDF is not encrypted or password protected. Anyone who can open the patient's email can open the receipt.
What's on the receipt
On the PDF: Clinic name and contact info, receipt number, payment date, the staff member who processed the payment, the patient's full name, the amount, and the card brand and last 4 digits (or cash/check).
What's Not on the PDF: Date of birth, home address, diagnosis, or full card number.
Payment: Receipts show payment details only — not the services or charges the payment was applied to.
In the email body: The patient's first name, amount, payment method, receipt number, date, clinic name, and any message you add.
NOTE: We recommend keeping any message you add to the receipt email free of health details (such as diagnoses, symptoms, or treatment information), since it goes out in the email and lands in the patient's personal inbox.
⚠️ Important: Receipts and HIPAA
A receipt from a chiropractic office with the patient's name on it counts as protected health information (PHI). HIPAA allows a practice to email PHI to a patient without encryption when the patient asks for it and has been told about the risk. For that reason, we recommend emailing receipts only to patients who want to receive them this way.
