ChiroHD integrates directly with Fortis, a third-party merchant service, to streamline patient payment processing, card management, and recurring billing. This guide provides a complete overview of how to access and use Fortis within ChiroHD.
Accessing a Patient’s Fortis Account
To open a patient’s Fortis contact from ChiroHD:
Navigate to the Patient Profile.
Click Fortis Contact.
If the patient does not yet have a Fortis account, you must first create one.
This will open the patient’s Fortis record in a new window, showing a real-time view of:
Saved cards (Vault)
Recent transactions
Recurring billings
Split payments
Quick invoices
During migration periods, discrepancies can also occur, requiring you to link patient profiles to Fortis Contacts for proper synchronization. Additionally, ensure that the Fortis integration settings include a configured sync start date to prevent manual syncing requirements.
Viewing and Managing Transactions in Fortis
Reviewing Payment Details
From the Fortis interface, you can:
View transaction status (e.g., Approved)
See split payment details
Print or email receipts
To access full transaction details:
Click the payment line
Use the Email or Print buttons for receipt options
Processing Refunds
To issue a refund:
Click the relevant Charge.
Use the dropdown menu to select Refund.
Follow the prompts to process the refund.
Refunds must be processed in Fortis, not in ChiroHD. Refunds processed through Fortis will automatically sync with the patient’s ledger in ChiroHD, ensuring consistency in financial records.
Vault and Recurring Billing Management
When adding or managing saved cards or recurring payments, always do so within the patient’s specific profile to ensure proper linking.
Avoid setting up recurring billing from global navigation areas, as it may not connect properly to the patient’s profile.
To begin:
Open the Patient Profile.
Click Fortis Contact.
Use the Fortis tools to manage saved cards, create recurring billing schedules, or review payment history.
Syncing Fortis Payments to ChiroHD
Occasionally, a payment may successfully process in Fortis but not appear in the ChiroHD ledger. To resolve:
Click Sync with Fortis from the patient profile.
By default, it syncs today’s transactions.
Use the dropdown to choose a broader time range (Week, Month, Year, or All).
Choose All for older accounts, but note that large data volumes may result in longer sync times.
Using the Fortis Chat Support
If chat support is enabled in your Fortis account:
A chat bubble will appear in the Fortis window.
Use this to reach Fortis support directly with questions about split payments, transaction errors, or account issues.
Processing Payments in ChiroHD via Fortis
To run a payment using Fortis within ChiroHD:
Click New Transaction.
Select Payment.
Enter the amount.
Follow prompts to:
Input or swipe the card
Assign a provider
Save the card as a Vault card (if desired)
Complete the payment and optionally email or print the receipt
Fortis-approved card swipers will auto-fill card information.
Financial Data Visibility in ChiroHD
Financial Tab
In the Patient Profile > Financial Tab, you can see:
Cards saved via Fortis (Vault)
Active recurring billing schedules
Recurring Payments Report
To view all patients with recurring Fortis billing:
Go to Reporting > Recurring Payments.
View an overview of all auto-payment setups.
Reporting and Ledger Integration
Collections Report
Go to Reporting > Simple Reporting.
Select Collections and set the desired date range.
Payments will be labeled:
Fortis - Visa
Fortis - MasterCard, etc.
Patient Ledger
All Fortis payments appear in blue in the patient’s Transaction Ledger, and display the format:
Payment - Fortis - [Card Type]
Important: You cannot void or edit Fortis payments from the ChiroHD ledger.
To make any changes, open the Fortis Contact, process the adjustment, and then sync the update into ChiroHD.
