Before using the TRP Vital Signs report, there are several setup tasks that should be completed to ensure accurate reporting. These settings establish how the report tracks appointment milestones, referral sources, and patient conversions within your clinic.
Most offices only need to complete this setup when first implementing TRP Vital Signs. However, you may need to revisit these settings if appointment types, referral sources, or clinic workflows change in the future.
This setup includes:
Mapping appointment types
Categorizing referral sources
Verifying Care Plan usage
Once configured, the report will automatically track key TRP metrics based on your clinic's activity.
⚙️ Appointment Type Mapping
Appointment Type Mapping tells ChiroHD which appointment types correspond to the milestones tracked within the TRP Vital Signs report.
To access your mapping settings:
The mapping screen contains five milestone cards:
New Patient Exam
Report of Findings
R4 Report
R5 Report
R6 Report
For each milestone, select the appointment type or appointment types that should be included in that category.
Multiple Appointment Types
If your clinic uses multiple appointment types for the same milestone, you can select all applicable appointment types on the same mapping card.
Using Appointment Subtypes
Some clinics use a single appointment type for multiple re-exam milestones such as R4, R5, and R6.
In these cases:
Verify that appointment subtypes are setup for each milestone.
Select the shared appointment type.
Assign the appropriate subtype to each milestone card.

⚠️ Each appointment type and subtype combination must be unique within the mapping configuration.
Additional Notes
Not all milestones are required.
If your clinic does not use R5 or R6 appointments, those mapping cards can be left blank.
Unmapped milestones may generate a warning message, but the report will continue functioning normally.
Review your mappings anytime appointment types, subtypes, or scheduling workflows change.

A patient is only counted as a New Patient Conversion when:
A Care Plan is created after the patient's Report of Findings.
The patient completes at least one appointment on a later date after the Care Plan is created.
Without a Care Plan, the patient cannot be included in conversion calculations.
Because conversion data drives many report metrics, missing Care Plans can also impact:

If your clinic already uses Care Plans consistently, no additional workflow changes are required.
