Fortis Conversion

This article will cover the conversion process for offices using Fortis in their legacy EHR.

Pre EHR Migration

  1. 🚨 It is imperative that you inform Fortis that you will be migrating to ChiroHD as soon as possible. When doing so, please include the following information:

    1. Your current Fortis Merchant ID

    2. Targeted Go-Live Date

    3. Primary Clinic Contact (name and contact information)

    4. You may reach out in one of two ways:

  2. If your Go-Live date changes, you must inform both your ChiroHD Onboarding Specialist AND Fortis to avoid gaps in your Fortis syncing and automations.

Post EHR Migration

1️⃣ Step 1: Watch for Your Fortis Credentials

Fortis will send your credentials 24–48 hours prior to your Go-Live date, confirming they are prepared for the conversion.

Go-Live Day

  • On the morning of your Go-Live day, you will navigate to your Integrations tab within the appropriate ChiroHD location by navigating to:
    ​Settings -> Initial Setup -> Integrations -> Merchant Services and select Fortis
    ​

  • You will enter the above credentials into the corresponding fields and select
    ​the Sync date as your Go-Live Date. Please see the following video for a complete walkthrough πŸ‘‰ Integration Tutorial- Fortis

  • πŸ›‘ Please notify [email protected] as soon as credentials are successfully entered. We will not be able to complete the conversion until the credentials are entered.


Fortis Conversion (Handled by ChiroHD)

After you let the migration team know your credentials are entered, the ChiroHD Migration Team will:

  • Repoint your Fortis account to your new ChiroHD instance

  • Map existing Fortis accounts to the new corresponding patient IDs

  • It will take approximately 1 hour to complete

  • The Migration Team will notify you once the Fortis conversion is complete.

🚨 Important: Once repointed and converted, payments will no longer post to your legacy EHR. This means that you will need to manually reconcile payments for any period between Fortis's credentialing email and your Go-Live date.

After conversion:

  • If anything looks incorrect, contact us immediately so we can review and resolve it as quickly as possible

Post Conversion Action Items


Merging Duplicate Patients

In ChiroHD, each patient should have a single instance within the system. If your legacy EHR allowed multiple records for the same patient, you may see duplicate patients after migration.

Before You Begin

We recommend having both Fortis and ChiroHD open (in separate tabs or browsers) so you can easily compare patient records.


Step 1: Identify the Primary Account

  • Locate the duplicate patient records in Fortis

  • Determine which account should remain the primary account

    • (Typically, this is the account with the most history or an active auto-debit)

  • Note the Patient ID of the primary account


Step 2: Merge Patients in ChiroHD

  • Navigate to:
    ​Your Live Location β†’ Utilities β†’ Merge Patients

  • Merge all duplicate patient records into the Patient ID you want to keep

Example:

You have three patient records for Sally:

  • Patient ID 1

  • Patient ID 2

  • Patient ID 3

Most of Sally’s Fortis history - including an active auto-debit - is tied to Patient ID 2.

➑️ In this case, you would:

  • Merge Patient ID 1 and Patient ID 3 INTO Patient ID 2


Important Notes:

  • The Patient ID you merge into will remain active

  • The other Patient IDs will become inactive (orphaned) and no longer linked

  • Always merge into the account tied to the prominent Fortis history



Running A Transaction

Moving forward, you can click on the Money Shortcut on the Patient Snapshot or the New Transaction button within the Patient Profile to quickly run a transaction!

  1. Will I need to recollect patient credit card information?

    1. No. πŸ₯³ Since the existing Fortis account is being re-pointed to your new ChiroHD EHR instance, card vault history remains preserved.

  2. Will existing auto-debits come over?

    1. Yes.
