Setting Up Location-Specific Third Party Payers in the Insurance V2 Dashboard

Overview

In ChiroHD's Insurance V2 Dashboard, you have the ability to set up location-specific third party payers.
This is essential for billing, policy setup, EOB posting, and running insurance reports.
Without setting up the third party payer first, you will not be able to associate it with a patient's insurance policy.


Accessing Payer Settings

  1. Go to InsuranceSettingsPayers.

Here, you will find two tabs:

  • Location Payers: Third party payers specific to your location.

  • System Payers: Payers that have been set up at the network (system) level.


How to Add a Location-Specific Third Party Payer

  1. Make sure you are on the Location tab.

  2. Click Add Location Third Party Payer.

  3. Fill out the required payer details:

    • Payer Name (e.g., Blue Cross Blue Shield California - Sacramento Division)

    • Address (important for payers requiring paper claims)

    • Phone and Fax Number (from the payer or patient's insurance card)

    • Payer Type (e.g., Group Health Plan, Medicare, Attorney)

    • Office Ally Payer ID or TriZetto Payer ID (depending on your clearinghouse)

    • Referring Provider Requirements if applicable

    • Paper Billing Settings if necessary

  4. Click Create Payer to save.


Important Notes

  • You must create a third party payer before it can be attached to a patient's insurance policy.

  • If your office handles multiple divisions or addresses for a single insurance brand (like Blue Cross), you need to create separate payers for each address or division.

  • Accurate setup ensures:

    • Claims are billed correctly.

    • EOBs are posted accurately.

    • Reports pull the correct payer data.

Tip: If you are trying to set up a patient’s policy and cannot find the correct payer, always check first if the third party payer has been created in the system.


Why Setting Up Payers Properly Matters

Setting up third party payers correctly at the beginning saves significant time later:

  • It avoids billing delays.

  • It ensures claims route correctly to clearinghouses and payers.

  • It maintains clean insurance reporting.

  • It simplifies EOB posting and payment reconciliation.

Whenever your office starts working with a new insurance company, attorney, or third party responsible for claims, always set up the payer immediately in the Insurance V2 Dashboard under the Location Payers tab.
