Setting Up Providers in ChiroHD

Setting up providers in the Providers Tab is a crucial step in ensuring accurate billing and claim creation in ChiroHD. This process connects the rendering provider with their associated NPI (National Provider Identifier) and EIN (Employer Identification Number), allowing for seamless insurance billing.


βœ… Step 1: Navigate to Providers Settings

  • After setting up your location and users, navigate to your live location > Settings

  • Click on Providers

  • Select Create New Provider


βœ… Step 2: Connect the User

  • From the User Dropdown Menu in the User field, select the appropriate provider

  • Ensure that the correct Calendar User is linked

  • Important: If the wrong user is linked, it may result in errors such as "Unknown Provider" on the billing sheets


βœ… Step 3: Enter Provider Information

  • The system will auto-fill the First Name and Last Name upon user selection

  • Manually input the 10-digit NPI Number

  • Enter the EIN (Tax ID) Number – enter this number without dashes

  • If the provider is billing under a Social Security Number (SSN) instead of an EIN:

    • Select Social Security

    • Enter the SSN

  • Add any Suffix or Title (if applicable)

  • Input the provider's Taxonomy Code, if required


βœ… Step 4: Verify Required Fields

  • Any field marked with a blue bar is mandatory and must be completed before saving

  • Double-check the NPI, EIN, or SSN entries to ensure accuracy


βœ… Step 5: Save and Confirm

  • Once all fields are completed, save the provider profile

  • Ensuring the Providers Tab is properly configured is essential for billing insurance claims accurately


❗ Why This is Important

Without correctly setting up the Providers Tab, ChiroHD cannot correctly associate:

  • The Calendar Provider with the Rendering Provider

  • The appropriate NPI and EIN for insurance claims

This step is critical for successful claim submissions and avoiding errors in billing.
