To streamline your insurance billing workflow, ChiroHD allows integration with Clearinghouses. Here’s how to set up your Clearing House integration!
Important Setup Requirement
Before configuring the integration, you must contact your Clearinghouse and inform them that you will be using ChiroHD as your EHR.
Even if you have been using the same clearinghouse with a previous system, this step is necessary because setup steps on their end are required.
⚠️ Failing to notify the Clearinghouse may result in integration issues.
Getting your SFTP Integrations set up can take time depending on your payer. Start this process as early as possible.
Accessing Clearinghouse Integration Settings
Navigate to your Live Location, Settings, Initial Setup, Integration, Clearinghouse.
ChiroHD currently supports direct integrations with the following Clearinghouses:
Office Ally
TriZetto
Availity
How Clearinghouse Integration Works
ChiroHD generates electronic claims in X12 format, which most Clearinghouses accept.
If using a non-integrated Clearinghouse, compatibility is not guaranteed, but you may still attempt to use the X12 claim file. See below how to manually bill without an integrated clearinghouse.
Starting With Your Clearinghouse: Request SFTP Credentials
Contact your clearinghouse to request SFTP credentials (a username and password for SFTP access).
These are not the same credentials you use to log into your clearinghouse portal.
You must explicitly ask your clearinghouse for SFTP credentials.
Using your portal login will not work and the connection will fail.
Setup Steps for SFTP Integration
Once you have your SFTP credentials from your clearinghouse:
Navigate to your Live Location, Settings, Initial Setup, Integrations, Clearinghouse.
Under Please select your clearing house, choose your clearinghouse from the dropdown.
Enter your Sender ID (provided by your Clearinghouse). If left blank, ChiroHD will use your EIN number.
Scroll down to the SFTP Settings section.
Enter your SFTP Username and SFTP Password.
Toggle on/off ERA Auto Allocation.

If turning ERA on, set your ERA Sync Start Date.
ChiroHD will retrieve all ERA files on or after this date that are still present on your clearinghouse's SFTP server.
You can backdate this if needed.
For example, if you enable ERA on December 1st but set the sync start date to November 14th, ChiroHD will pull all files from November 14th forward.Files that have already been removed from the clearinghouse SFTP server cannot be retrieved this way — for those, you'll need to download and manually upload them instead.
NOTE: If you've already manually entered EOBs for claims in that date range, backdating may result in duplicate ERA files being retrieved. Review your Pending EOBs queue carefully after changing this date.
Click Save Configuration.
IMPORTANT FINAL STEP: Once credentials are saved, click Test SFTP Configuration to verify they're valid.
If the test fails, contact your clearinghouse to confirm the credentials are correct.
How to Use the SFTP Integration
Once the SFTP integration is set up:
When you create a claim in ChiroHD, a Send to Clearinghouse button will appear.
Clicking this button will upload the electronic claim file to your Clearinghouse.

Without SFTP Integration - Manual Billing Option
The SFTP integration is NOT required to create claims in ChiroHD. You can still:
Create claims in ChiroHD.
Manually download the electronic claim file.
Log into your Clearinghouse's website.
Upload the claim file and process it.
Viewing Claim History
In ChiroHD, you can view claim history for all created claims.
Click on a claim to expand it.
If you used Send to Clearinghouse, it will show Sent to Clearinghouse with a timestamp.
