Inventory Item By Category - All Reports Beta

Learn how to use the Inventory by Category report in All Reports Beta to see patient-level inventory item charge transactions organized by inventory category within a date range, with optional filters for category and billing provider.

πŸ“ Overview

The Inventory by Category report shows individual ledger charge transactions for inventory items, organized by the inventory category assigned to each item in ChiroHD. It is the inventory counterpart to the Services by Category report β€” instead of covering services, it covers physical products sold to patients, such as supplements, DME, and lab tests.

This report is found under the Sales Reports section in All Reports Beta. It is designed for offices that want to see patient-level inventory charge activity grouped or filtered by product category, rather than by individual item name.

To access this report, go to Reporting > All Reports Beta, select a location, and click Inventory by Category under the Sales Reports section.

🏷️ Inventory Item Categories in ChiroHD

Inventory categories are assigned to each inventory item when it is set up in ChiroHD. They are fixed categories defined by ChiroHD β€” not customizable by individual offices. The available inventory item categories are:

  • Supplements

  • DME (Durable Medical Equipment)

  • Weight Loss

  • Inventory Misc

  • Lab Test (Inventory)

Note: An inventory item will only appear in this report under the category it was assigned when it was created in your inventory settings. If an item is assigned to the wrong category, its transactions will appear under the incorrect category in this report. Category assignments are managed in your inventory settings.

πŸ“‹ Filter Details

πŸ“… Charged Between / And (Required)

Sets the date window for the report. Includes any inventory item charge added to a patient's ledger within this range, keyed off the charge date β€” not the date the product was dispensed or the date a payment was received.

πŸ”ƒ Sort By and Sort Direction (Required)

You can sort the output by:

  • Date β€” chronological order by charge date (default, newest first)

  • First Name β€” alphabetical by patient first name

  • Last Name β€” alphabetical by patient last name

  • Category β€” grouped alphabetically by inventory category

Tip: Sorting by Category is especially useful when running the report without a category filter β€” it groups all transactions under their respective category so you can review each product type's activity together rather than interleaved by date.

Sort direction defaults to descending. Change to ascending for oldest-to-newest or A–Z ordering.

🏷️ Inventory Category (Optional)

If left blank, the report returns transactions for all inventory categories within the date range. Select one or more categories to narrow results to only those product types.

Example: To see all supplement sales in the last quarter, select Supplements from the category filter and run the report.

πŸ‘€ Billing Provider (Optional)

Filter the report to charges attributed to a specific billing provider. If left blank, charges from all providers are included.

πŸ“Š What the Report Shows

For each transaction line, the report shows:

  • Patient name

  • The inventory item charged and its category

  • The charge date

  • The charge amount

The report includes a running total so you can see aggregate amounts as you work through the output.

⚠️ Important limitations:

  • Like all Sales Reports, this report shows the default billed amount for each charge. Inline write-offs are not reflected.

  • Sales tax is not included. Tax applied to inventory items does not appear here β€” it is tracked separately in the Tax Information Report. For a complete picture of inventory revenue including tax, run both reports.

⚠️ What This Report Does Not Show

  • Inline write-offs β€” discounts applied at the inventory item level at the time of charge are not reflected. The report shows gross billed amounts only.

  • Sales tax β€” tax on taxable inventory items is not included. Use the Tax Information Report for tax data.

  • Services β€” this report covers inventory items only. For service transactions by category, use the Services by Category report.

  • Payments β€” the report shows charges only. For payment data, use the Collections Report.

  • Insurance vs. patient responsibility split β€” the report shows the total charge amount, not how it is divided between patient and insurance.

πŸ’‘ Common Use Cases

  • Supplement sales tracking β€” Filter to the Supplements category to see every patient who purchased a supplement product in a period, with dates and amounts

  • DME revenue review β€” Filter to DME to track durable medical equipment sales by patient and date

  • Category-level product revenue β€” Run without a filter and sort by Category to get a full breakdown of inventory revenue by product type for the period

  • Provider-specific inventory sales β€” Filter by billing provider and category to see inventory charges attributed to a specific provider

  • Tax reporting preparation β€” Use this report alongside the Tax Information Report to see which patients were charged for taxable inventory items and cross-reference with the tax amounts applied

  • Inventory performance review β€” Compare category totals across multiple periods to identify which product categories are growing or declining

❓ Common Questions

  • What is the difference between this report and the Sales Report? The Sales Report shows aggregate totals for all services and inventory items combined β€” one number per line item across all patients. This report breaks inventory transactions down to the patient level and organizes them by category. Use the Sales Report for quick totals; use this report when you need to see who purchased what and when, organized by product type.

  • What is the difference between this report and By Service / Inventory Item? By Service / Inventory Item lets you filter to a specific product by name and shows transactions for both services and inventory items. This report filters and sorts by inventory category only, and covers inventory items exclusively. Use By Service / Inventory Item when you know the specific product you are looking for; use this report when you want to see all products within a category.

  • Why doesn't this report show the tax on inventory items? Sales tax on inventory items is tracked separately in the Tax Information Report. This report shows the base charge amount only. For a complete view of what was charged and what tax was applied, run both reports and combine the data.

  • What if an inventory item is assigned to the wrong category? The report will show that item under whatever category it was assigned in your inventory settings. If items are appearing in the wrong category bucket, the category assignment needs to be corrected in inventory settings. The report itself cannot override how categories are assigned.

  • Can I filter to multiple inventory categories at once? Yes β€” the Inventory Category filter accepts multiple selections. Select as many categories as you need and the report will return transactions for all of them.

  • Why are some inventory items not appearing? A few possible reasons:

    • The item may not have been charged within the date range selected β€” try widening the date range

    • The item may be assigned to a category you have filtered out β€” try removing the category filter and running without it

    • The item may have been added as a service rather than an inventory item β€” in that case it would appear in the Services by Category report instead

βœ… Key Takeaways

  • Inventory by Category shows patient-level inventory item charge transactions organized by product category β€” it is the inventory counterpart to Services by Category.

  • It lives under Sales Reports in All Reports Beta, not under Daily Reports or Find Patients.

  • The date filter keys off the ledger charge date β€” labeled "Charged between" in the report.

  • The Inventory Category and Billing Provider filters are both optional.

  • Available inventory categories are: Supplements, DME, Weight Loss, Inventory Misc, and Lab Test (Inventory) β€” these are fixed and not customizable.

  • A Category sort option is available β€” useful for grouping all transactions by product type when running without a category filter.

  • The report shows default billed amounts only β€” inline write-offs are not reflected.

  • Sales tax is not included β€” run the Tax Information Report alongside this one for a complete picture of inventory revenue including tax.

  • This report covers inventory items only β€” use Services by Category for service transactions.

  • Export as CSV for detailed analysis, multi-provider comparisons, or combining with other reports.

πŸ“Œ Conclusion

Inventory by Category gives your office a patient-level view of product sales organized by the type of inventory item sold. It is most useful when you want to understand which product categories are driving inventory revenue, compare sales by provider, or prepare data for tax reporting alongside the Tax Information Report. Like all Sales Reports, it reflects gross billed amounts β€” inline write-offs are not included. For a complete financial picture of inventory sales, plan to use this report together with the Tax Information Report and, where needed, the Write-Offs Report.
