π Overview
The By Payment Type report shows individual payment transactions recorded in ChiroHD, broken down by the payment type used β such as cash, check, credit card, or any custom payment types your office has configured. Unlike the Collections Report, which shows payment totals grouped into broad categories, this report shows each payment transaction at the patient level so you can see exactly who paid, how much, when, and by what method.
This report is found under the Sales Reports section in All Reports Beta.
To access this report, go to Reporting > All Reports Beta, select a location, and click By Payment Type under the Sales Reports section.
π‘ How This Report Differs From the Collections Report
Both this report and the Collections Report deal with payments received β but they serve different purposes:
| Collections Report | By Payment Type |
Level of detail | Summary or Detail totals | Patient-level individual transactions |
Organized by | Payment category (card, cash/check, insurance, recurring) | Payment type as configured in your office settings |
Filter to specific payment type | No | Yes β optional |
Includes insurance payments | Yes | Depends on how your payment types are configured |
Date label | Date the action was performed | Date the payment was added |
Best for | Reconciling with your bank account | Understanding how patients are paying at the transaction level |
Use the Collections Report for bank reconciliation and total income tracking. Use this report when you need to see individual payment transactions broken down by the specific payment method used.
π³ How Payment Types Work in ChiroHD
Payment types in ChiroHD are configured in your office settings and represent the methods by which payments are recorded on a patient ledger. Your office may have a standard set of payment types (cash, check, credit card) as well as custom types configured for your specific workflows.
Each payment type has an "Include in Cash" flag β this determines whether that payment type is grouped under the cash/check category in the Collections Report. This flag is set in your Payment Types settings and does not affect how payments appear in this report β here, each payment type is shown individually under its own name regardless of how it is grouped in Collections.
Note: Because payment types are configured per office, the options available in the payment type filter will vary from one location to another. Your office's list of payment types may look different from another practice's.
π½ Report Filters
Filter | What It Does | Required? |
Added between / and | Sets the date range for payments to include β keys off the date the payment was added to the ledger | β Required |
Sort By | Choose how to sort the output: Date, First Name, or Last Name (defaults to Date, newest first) | β Required |
Sort Direction | Ascending or descending (defaults to descending β newest first) | β Required |
Payment Type | Filter the report to one or more specific payment types configured at your location | β Optional |
Export options: PDF and CSV
β οΈ Note on the date label: The date filter on this report reads "Added between" β not "Charged between" as on other Sales Reports. This is because the report is tracking when the payment was added to the ledger, not when a service charge was added. This distinction matters when reconciling activity across a date range.
π Filter Details
π Added Between / And (Required)
Sets the date window for the report. Includes any payment added to a patient's ledger within this range, keyed off the date the payment was recorded in ChiroHD β not the date the funds cleared your bank account.
π Sort By and Sort Direction (Required)
You can sort the output by:
Date β chronological order by payment date (default, newest first)
First Name β alphabetical by patient first name
Last Name β alphabetical by patient last name
Sort direction defaults to descending. Change to ascending for oldest-to-newest or AβZ ordering.
π³ Payment Type (Optional)
Filter the report to one or more specific payment types. The available options are the payment types configured at your location β this list is not fixed and will reflect your office's specific setup. If left blank, the report returns transactions for all payment types within the date range.
Example: To see only credit card transactions for the month, select your office's credit card payment type from the filter and run the report.
π What the Report Shows
For each transaction line, the report shows:
Patient name
The payment type used
The date the payment was added
The payment amount
The report includes a running total so you can see aggregate amounts as you work through the output.
β οΈ What This Report Does Not Show
Charges or services β this report tracks payments only. For charge data, use the Sales Report or the By Service / Inventory Item report.
Insurance EOB payments β whether insurance payments appear depends on how your office has configured payment types. If your office records EOB postings through a specific payment type, those may appear here. If not, they will not.
Refunds β refunds recorded in ChiroHD may appear as negative amounts depending on how they are processed and recorded. Review carefully if refund activity is present in the date range.
Payment method details β for card payments, the report shows the payment type name only, not card brand, last four digits, or transaction IDs.
π‘ Common Use Cases
Payment method analysis β Run without a filter and sort by date to see a full breakdown of how patients paid across all payment types in a period
Cash and check tracking β Filter to cash and check payment types to isolate non-card payments for reconciliation purposes
Specific payment type auditing β Select a specific payment type to review all transactions processed under that method β useful when investigating a discrepancy or auditing a particular collection method
Patient-level payment history β Use the patient name sort to review all payments recorded for a specific group of patients in a period
Supporting Collections Report reconciliation β If a Collections Report total seems off, export this report as a CSV and compare individual payment transactions against what the Collections Report is summarizing
β Common Questions
How is this different from the Collections Report? The Collections Report shows payment totals grouped into broad categories (credit/debit card, cash/check, insurance, recurring) and is designed for bank reconciliation. This report shows individual payment transactions at the patient level, organized by the specific payment type used β giving you more granular detail than the Collections Report provides.
Why does the date filter say "Added between" instead of "Charged between"? This report tracks payment additions to the ledger, not charge additions. The label "Added between" reflects that distinction β it keys off when the payment was recorded in ChiroHD, not when a service was charged.
Will I see insurance payments here? It depends on how your office processes EOBs and which payment types are configured at your location. If EOB postings are recorded using a specific payment type that is active at your location, they may appear. If insurance payments are handled separately and not mapped to an active payment type in your settings, they will not appear.
Can I see all payment types at once without filtering? Yes β leaving the payment type filter blank returns transactions for all payment types within the date range. You can then sort by date or name to review everything together, or export as a CSV and sort by payment type in a spreadsheet.
Why are my payment type options different from another office's? Payment types are configured at the location level in your office settings. Each office can have a different set of active payment types. The options in this report's filter reflect your location's specific configuration β not a fixed system-wide list.
Can I use this report to reconcile my bank statement? This report can support reconciliation but is not designed as a primary reconciliation tool β that is the Collections Report's purpose. This report is better used to investigate specific transactions or payment methods within a period when you need patient-level detail that the Collections Report does not provide.
β Key Takeaways
By Payment Type shows individual patient-level payment transactions organized by the payment method used β it is the patient-level counterpart to the payment sections of the Collections Report.
It lives under Sales Reports in All Reports Beta.
The date filter keys off when the payment was added to the ledger β labeled "Added between" in the report, distinct from the "Charged between" label used in charge-based Sales Reports.
The Payment Type filter is optional and pulls from your office's configured payment types β the available options will vary by location.
There is no Billing Provider filter on this report β unlike By Service / Inventory Item, Services by Category, and Inventory by Category.
Sort options are Date, First Name, and Last Name β there is no Category sort.
The report includes a running total.
Payment types each have an "Include in Cash" flag in settings that affects how they are grouped in the Collections Report β this does not affect how they appear here, where each type is shown individually.
Export as CSV for detailed transaction review, filtering by payment type in a spreadsheet, or supporting Collections Report reconciliation.
π Conclusion
By Payment Type fills a specific gap between the Collections Report's high-level totals and the need to see individual payment transactions by the method used. It is most useful for auditing specific payment types, investigating discrepancies in Collections Report totals, and understanding patient-level payment behavior. Because payment types are configured per location, the report will look different from one office to another β what matters is that the filter reflects whatever payment types your office is actively using and recording in ChiroHD.
