Visit Tracker FAQ

Updated over 3 weeks ago

What does it mean when the entire visit tracker appears in red?

If a visit tracker is highlighted in red, it means the patient has already reached the maximum count, but the tracker is set to not clear on end (set to false). Since it isn’t clearing, it remains visible on the snapshot and continues counting past the max. The red highlight is a warning that the patient has exceeded the allowed number of visits.

How does this relate to the Care Plan feature?

Both the Care Plan and Visit Tracker features are designed to track patient visits and care. However, there are key differences:

  • Care Plan

    • Focuses strictly on pacing/frequency.

    • Only counts Adjustments and Massages (limiting flexibility).

    • Was the original tracking option in ChiroHD.

  • Visit Tracker

    • Tracks any category/service listed under Tracking/Reporting.

    • Supports both paced care plans and simple service packages.

    • Replaces the Care Plan tracker where enabled.

    • Displays in the patient snapshot and SOAP notes screen (though the Care Plan tab still exists for now).

Over time, Visit Tracker will fully replace Care Plans.

Can a visit tracker count multiple services?

Yes β€” but only if the services are organized into different categories under Tracking/Reporting. Each category requires its own tracker.

Example: To track both Adjustments and Laser:

  1. Ensure both services are listed under separate categories in Tracking/Reporting.

  2. Create one tracker for Chiropractic Encounters and another tracker for Laser Encounters.

πŸ‘‰ You cannot create one tracker and multi-select categories.

Can a visit tracker count only one specific service?

Not exactly. A visit tracker is linked to a category in Tracking/Reporting, and it will count every service within that category. For example, if the Chiropractic Encounter category includes multiple adjustment types (1–2 regions, 3–4 regions, 5 regions, Wellness, Employee), all of them will count toward the tracker. To track only a single service, that service would need to be placed in its own category.

Can I set up an ongoing visit tracker?

Yes. Simply leave the Max Visits field blank, and the tracker will continue indefinitely.
