Visit Tracker Setup Example - Monthly Tracker – Current Month Visible Only

Monthly-Based Visit Trackers

Updated over 3 weeks ago

The patient signs up for a plan where they pay a flat fee every month, and they can receive 1 adjustment per week and/or up to 4 adjustments within a month. This is an ongoing care plan until the patient decides to stop. Sometimes an office could call this a VIP plan, Maintenance Plan, etc.

How to setup this visit tracker –

  1. Create 12 trackers (one per “month/phase”).
For each tracker, use these common fields:

    • Visit Type: Chiropractic Category

    • Start on the Morning of: Membership start date (same for all 12)

    • Color: your choice

    • Clear on End: True (hides completed months automatically)

  2. Then set the values below as shown:

What you’ll see month to month

  • During a month, only that month’s tracker is visible.

  • After the 4th visit, that tracker auto-clears (disappears).

  • The next month becomes visible on the patient’s first visit of that new month (when the cumulative visit count hits the next Minimum Count).

Result: You set it up once; it rolls forward without manual edits.
