📝 Overview

The Visit Tracker in ChiroHD is designed to help offices monitor patient visits and services—particularly helpful for patients on care plans or service packages. It visually displays in the Patient Snapshot and SOAP Notes screen, enabling providers and staff to easily view progress.


🔆 Introduction to the Visit Tracker

Navigate to the Patient's Profile > Visit Tracker tab.

🔍 What It Tracks:

  • Total number of charges on a ledger (simple count)

  • Visit pacing/frequency expectations

  • Multiple services (e.g., adjustments, massage, laser therapy)


🩺 Care Plans and Packages

The Visit Tracker can be used to track either care plans or packages of services. A care plan is essentially the course of action recommended by the doctor and/or chosen by the patient. The plan can be basic or complex, and it may involve multiple services, inventory items, etc.

  • Basic Care Plan Example: A patient agrees to 12 adjustments. These can be completed at any time without pacing requirements.

  • Complex Care Plan Example: A patient agrees to 72 adjustments over a year. At first, they come three times per week, then reduce to two per week, and eventually one per week. Along with this, they receive 12 massages (one per month), 24 laser therapy treatments, and a home therapy kit (pillow, cervical traction device, omegas, and ice pack).

The Visit Tracker helps offices keep track of such plans in a structured and visual way.


📊 Two Concepts of Tracking

You can choose from:

🟦 Method 1: Simple Counting

  • This method simply counts the number of charges on the ledger.

  • You must specify a Max Count, which is the total number of visits or services being tracked.

  • The progress bar will be blue, showing how much of the plan has been completed.

  • This method does not involve pacing or frequency.

24 adjustments + 12 massages

  • If 13 adjustments & 1 massage completed, progress bar reflects that visually


🟪 Method 2: Counting with Pacing

  • Similar to Method 1, but it also takes into account the Expected Number of Weeks.

  • By entering the expected number of weeks, pacing/frequency is introduced.

  • The progress bar will display colors to indicate pacing:

    • Blue: On track

    • Orange: Slightly over or under pacing

    • Red: Significantly over or under pacing

  • The tracker also shows a dot, which indicates where the patient should be according to pacing.

  • Again, the color of the progress bar being different from the standard blue, and the presence of a dot is all dependent on the expected number of weeks. That signifies pacing.

Key Point: Leave Expected Weeks blank = defaults to Method 1

🛠️ Tracker Setup

After enabling, go to:
Patient Profile > Visit Tracker tab > Add Visit Tracker

🧾 Setup Fields Explained

  • A. Name: The name of the tracker. Appears on the snapshot.

  • B. Visit Type: Determines what charges are counted, based on Tracking/Reporting categories.

  • C. Color: Sets a desired color for the tracker. This will appear as a colored box at the beginning of a tracker. Click into the field and a color picker will appear.

  • D. Start on the Morning of: Start date for counting charges. If post-dated, counts from that day forward.

  • E. Minimum Count: Minimum number of charges before the tracker shows in the snapshot. Setting this to 0 makes it appear immediately.

  • F. Max Count: Total number of charges to be reached for a tracker or phase. For example, if the first phase in a care plan is 12 visits, then you would set up the visit tracker max visit to 12.

  • G. Expected Number of Weeks: The amount of weeks that it should take to complete the phase/tracker (not required). This is what will prompt the visit tracker to incorporate the pacing features.

  • H. Clear on End: If true, the tracker will disappear from the visit tracker snapshot once the max visits have been reached. This method is used if an office only wants to see what tracker the patient is currently on, they do not wish to see completed or future trackers. If false, the tracker will remain visible on the tracker snapshot. This method is used if an office wants to see current and past completed trackers.

  • I. Number to Add to Start: This field is only used for migrated offices where a patient’s care plan spans two systems. It lets you start the visit tracker from the original care plan date while accounting for visits already completed in the previous system (and not shown on the current ledger). For example, if a care plan has 24 visits but 10 were finished in the old system, entering “10” ensures the tracker begins accurately and continues seamlessly without requiring manual adjustments.
