How to Set Up Tags - System Level

Tags in ChiroHD offer a flexible way to categorize patients based on information that is not currently tracked or reported in the system—such as care plans, payment styles, or personal interests. They are highly customizable and can be used for reporting, mass communication, and trigger-based actions.

This guide outlines how to set up, assign, and utilize tags at both the system and location levels.


Where to Set Up Tags

Navigate to:
System Dashboard → System Settings → Tags


Tags can be set up at:

  • System Level – Recommended for consistency across all locations

  • Location Level – Useful for franchises or location-specific needs
    (Settings → Initial Setup → Tags)


What Tags Can Be Used For

Tags can be used to categorize patients by characteristics or preferences not natively supported in ChiroHD, including:

  • Corrective Care Plan

  • Pregnancy

  • Cash Pay Per Visit

  • Pediatrics (Peds)

  • Yoga Interest

  • Wellness Plan

✅ Tags help track these distinctions even when no built-in report exists for the category.


Creating a Tag

  1. Click Create Patient Tag

  2. Enter a Name (e.g., Peds)

  3. Click the Color Picker link

    • Opens an external color selector

    • Copy the desired hex code and paste into the tag's color field

  4. Enable Show in Q to display the tag on the patient snapshot

  5. Click Submit

📌 Color is highly recommended:
Without color, tags appear white and may look like no tag has been added. Using color makes tags easier to spot and interpret at a glance.


Assigning Tags to Patients

To assign tags:

  1. Open the patient’s snapshot

  2. Click Add Tag

  3. Select one or more tags from the list

  4. Refresh the screen to see tags displayed

Hovering over each tag will show its full name.


Reporting by Tag

To run a report by tag:

Reporting → All Reports Beta → By Tag

  • Select a date range

  • Choose the tag you want to filter by

  • View patients who have been assigned that tag


Mass Communication by Tag

To send a mass notification based on tags:

➡️ Go to:
Utilities → Mass Notification

  • You can send a text to all patients who have a specific tag (e.g., notify all Yoga patients of an upcoming event)


Triggering Automations by Tag

You can automate actions when tags are applied:

➡️ System Dashboard → System Settings → Triggers

  • Create a trigger based on the application of a tag

  • Useful for sending messages, alerts, or initiating workflows tied to patient categorization
