The Lead Tracking Report in ChiroHD provides a simple way to monitor where your incoming leads are in your practice’s lead management process. It shows how many leads are in each stage of your lead funnel and breaks it down by referral source and location.
This report pulls information from the Lead Management screen and helps you quickly assess lead performance across your office—or multiple offices if you manage a franchise.
Where the Data Comes From
Leads can be manually entered or automatically funneled into ChiroHD using a Zapier integration.
Once in ChiroHD, leads are managed through the Lead Management screen, where you can:
Move leads across different columns (e.g., First Call, Scheduled, Converted)
Send automated text messages
Drag and schedule leads directly into the calendar
Leave notes and text back-and-forth with leads
Accessing the Lead Tracking Report
You can view the Lead Tracking Report from two places:
System Level: For multi-location offices or franchises
Location Level: For a single office view
At the System Level
Navigate to Reporting > Lead Tracking.
Expand or adjust your date range:
Use quick-select "hot keys" (Today, This Week, This Month, etc.), or
Manually set a custom date range.
Select one or more locations you want to view.
Note: If you operate one office only, you can run this directly at the location level without using system-level options.
At the Location Level
Click into the specific location card.
Navigate to Reporting > Lead Tracking.
Adjust your date range as needed.
You’ll see the same structure as the system-level report but filtered for just that one office.
Understanding the Report Layout
Each report breaks down:
Location totals (for multi-location view)
Referral sources (e.g., Facebook, Instagram, Patient Referral)
Lead stage counts:
Leads
First Call
Second Call
Third Call
Fourth Call
Scheduled
Declined
Converted
Important:
The column names in the report (e.g., First Call, Second Call) do not automatically mirror any custom names you apply in the Lead Management screen.
They are standardized to default stages for reporting purposes.
What Each Stage Means
Stage | Meaning |
Leads | New leads that have entered the funnel |
First Call / Second Call / Third Call / Fourth Call | Attempts made to contact the lead |
Scheduled | Leads who have scheduled an appointment |
Declined | Leads who have declined to schedule or continue |
Converted | Leads who have returned for at least one visit after their initial new patient appointment (not tied to care plan conversions) |
Practical Use Cases
Compare lead management across multiple offices.
Audit scheduling effectiveness by seeing how many leads were successfully scheduled or converted.
Identify potential problems (e.g., offices with too many leads stuck in the early stages).
Track referral source performance by identifying which sources bring the most scheduled and converted patients.
Final Notes
The Lead Tracking Report gives you a high-level overview of your lead pipeline health.
It is designed for simple, fast decision-making—whether managing one location or many.
If you need help setting up Zapier integrations or managing your Lead Management screen, ChiroHD support is available to assist.
