Rebill Utility

The Rebill Utility in ChiroHD enables practices to mass update and rebill previously submitted services across multiple patient records. This tool is essential for addressing changes in payer billing requirements or correcting systemic billing issues efficiently and accurately.


Purpose of the Rebill Utility

The Rebill Utility is designed to streamline the process of rebilling when:

  • An insurance payer changes claim submission requirements (e.g., new modifiers, coding changes).

  • Billing errors are identified across a range of dates or services.

  • Bulk adjustments need to be applied across multiple patients or services without manually editing each record.

Common Use Case:

A payer such as United Healthcare updates its policy mid-year, now requiring a modifier on a specific procedure code. Rather than manually updating each claim retroactively, the Rebill Utility allows you to apply the necessary changes in bulk and flag those services for rebilling.


Accessing the Rebill Utility

  1. Navigate to the Utilities tab from the main navigation bar.

  2. Select Rebill Utility.

This will launch the interface where you can define your search and apply batch updates.


How to Use the Rebill Utility

Step 1: Search for Targeted Services

To begin:

  • Enter the original service code (e.g., "Adjustment – 3 to 4 regions") that needs to be updated.

  • You may optionally filter by patient name to limit the scope to one individual.

  • Specify a start date to apply the change from a particular point forward (e.g., January 1, 2022).

  • You may also filter by third-party payer if the rebill applies to claims from a specific insurance provider.

Click Check Matches to generate a list of patients and services that match the criteria.


Step 2: Apply Updated Billing Information

Once the relevant records are listed:

  • Enter any updated information:

    • New billed amount (if applicable)

    • Updated number of units

    • New modifier(s)

Click Set Items to Rebill and Update Values.

This will:

  • Apply the new billing values to the selected services.

  • Automatically flag them for rebilling within each patient's billing history.


Step 3: Process Rebill Claims

After the updates are applied:

  1. Go to Insurance > Create Bills.

  2. Locate the newly flagged services.

  3. Proceed to rebill them using the standard billing workflow in ChiroHD.

The Rebill Utility updates and flags the claims for rebilling but does not submit them. You must complete the rebill through the Create Bills process.
