Overview
Setting up system-level user accounts in ChiroHD is the first step in configuring your clinic’s system. System-level users have access to multiple clinics within your network and can be granted various permissions depending on their role.
Every user should have their own personal login and email address. Shared login accounts are not recommended for security and accountability reasons.
Steps to Create a System-Level User
1. Navigate to User Settings
Log into ChiroHD.
Go to System Settings.
Click Users.
Select Create New User.
2. Assign a Provider Type
Each user must be assigned a provider type based on their role:
Administrative-Only Users:
Have access to the calendar in each assigned location.
Do not have access to the SOAP Note screen.
Provider Users:
Have access to both the calendar and SOAP Note screen.
Medical Assistants (or Chiropractic Assistants):
Can be assigned the Medical Assistant provider type.
This allows them to transcribe SOAP notes for doctors while still restricting access to provider-level functions.
Note: Calendar setup for providers will be covered separately.
3. Enter User Information
Fill in the required details for the new user:
First and Last Name
Title and Nickname (if applicable)
Email Address (This must be unique to the user and will be used for login)
Phone Number (We recommend using a personal cell number for easy communication)
Important: Double-check the email address for accuracy before saving to prevent login issues.
4. Assign Permission Levels
Users must be assigned one of the following access levels:
System Admin:
Full access to System Settings and all locations in the network.
Location Admin (System-Level):
Can view the System Dashboard but does not have access to System Settings.
Can manage location-specific settings.
Location User (System-Level):
Can view the System Dashboard but does not have access to System or Location Settings.
If set as a provider, they can access the SOAP Note screen but cannot modify settings.
Call Agent & Reporting-Only Users (Feature coming soon!)
Most initial users will be System Admins, ensuring they have full access during setup.
Note: Only users with specific permissions can grant those same permissions to others (e.g., if you lack insurance permissions, you cannot assign them to another user).
5. Assign Specific Permissions
Mobile App Permission:
Grants access to the Mobile App Configuration within a location.
Allows sending patient app invitations.
Edit Schedule Permission:
Allows users to modify the calendar settings in a location.
Text Reminder Permission:
Enables access to the Text Reminder button on the calendar.
Allows users to configure reminder templates.
Insurance Permissions:
Grants access to Insurance Settings in the System Dashboard.
Allows viewing Insurance History and Billing History in patient profiles.
6. Assign Location Access
If a user needs access to all locations, select "All Locations".
If a user only needs access to specific locations, choose "Specific Locations" and select the relevant ones.
If a user should only have access to one location, ensure that location is selected.
Pro Tip: If "Specific Locations" is chosen, and only one location is selected, ensure it is properly assigned to avoid login issues.
Finalizing the Setup
Once all user details, permissions, and locations are configured, save the user profile. The new user will then receive an email with login instructions.
