Merge Patients - How To Merge Duplicate Patient Profiles

If there are multiple accounts for the same patient, we highly encourage you to merge duplicate patient accounts. In ChiroHD, you do not need multiple patient accounts to accommodate different case types. You can have all case types under one patient account. This allows for easier patient management, and more accurate reporting. Merging patients in ChiroHD is simple, just follow the steps below.

Step 1: Identify the patient ID to keep

  • Identify the patient ID that you want to keep. This is generally the account that is the main or default account. Write down the patient ID number for this account as you will need it in Step 4.

Step 2: Identify the patient ID to merge

  • Identify the patient ID that you want to merge into the main account, aka the patient ID that you are getting rid of. This would generally be the ID that is more out of date, or no longer the default account.

Step 3: Copy patient's notes box

  • When you merge patients in ChiroHD, we merge all the payments, transactions on the ledger, case notes, DX codes....but we do not merge the patient's notes box (the blue notes box). We recommend that you copy anything in the notes box in the ID that you are getting rid of, and paste it into the ID that you are keeping. That way nothing is lost.

Step 4: Complete the merging process

  • Go to Utilities Merge Patients

  • PLEASE READ THE WARNING MESSAGE ON THIS SCREEN

  • Under Patient to Keep - type in the patient's name and select the matching patient ID for the patient you identified to keep.

  • Under Patient to Merge - type in the patient's name and select the matching patient ID for the patient you identified to merge.

  • Once the patients are selected in each field a text box will pop up - type MERGE PATIENTS in all caps

  • Once MERGE PATIENTS has been typed into the text field - the submit button will turn from orange to green

What is kept and lost when merging patient profiles?

The system will keep things that have room to transfer (ie. appointments, payments, transactions and documents).

However it cannot transfer items that don't have a place to fit in the new profile such as demographics - we can only harbor one demographic profile, Dx Codes and Default Services. The patient note box will not transfer over either so we recommend copying and pasting any pertinent information before merging.
