Adding DX Codes to the System vs. to the Patient Cases

Learn how to search, identify, and add unavailable diagnosis (DX) codes into ChiroHD via the third-party ICD database.

Updated this week

📝 Overview

ChiroHD includes an extensive list of ICD diagnosis codes. However, there may be instances where a needed code is not immediately available in the system. The Add ICD DX Code feature allows users to pull in a missing code from a connected third-party database and make it available for patient cases.

Accessing the Add ICD DX Code Feature

You can access this feature at either the system level or location level:

  • System Dashboard → System Settings → Add ICD DX Code

  • Location Settings → System Settings → Add ICD DX Code

What is the Add ICD DX Code Feature?

This feature is designed to help you:

  • Add a single ICD diagnosis code that isn’t already listed in the system.

  • Pull from a third-party diagnosis database integrated with ChiroHD.

  • Make specific codes available in drop-down search menus for patient cases.

⚠️ Important: This tool is not intended to upload bulk diagnosis codes or as part of initial setup. ChiroHD already includes a robust set of ICD codes.

When to Use This Feature

Use this feature only when:

  • You search for a DX code (e.g., M53) while adding to a patient’s case

  • The code does not appear in the drop-down menu

If the code is unavailable, follow these steps:

  1. Go to:
🛠️ System Dashboard → System Settings → Add ICD DX Code

  2. Type in the code (e.g., M53)

  3. Select the desired option from the search results

  4. Click “Create New DX Code” to add it

Where to Add Diagnosis Codes in a Patient Case

To correctly add a DX code:

  • Go to the patient’s snapshot

  • Select the appropriate case

  • Use the diagnosis section on the case screen (📍 not through general settings)

⚠️ The Add ICD DX Code feature does not replace the standard process of applying a diagnosis to a case. It only makes additional codes available when they are missing from the list.

Troubleshooting: Internal Server Error

If you receive an Internal Server Error when adding a DX code:

  • This means the code already exists in the system

  • The error is caused by attempting to add a duplicate code

✅ In this case, return to the patient case and search again using the code directly.

Best Practice for Searching

  • Use the ICD code itself (e.g., M53) rather than the description

  • This applies when:

    • Searching within the case

    • Searching through the Add ICD DX Code feature

✅ Key Takeaways

  • Use Add ICD DX Code only when a diagnosis is not available in the dropdown.

  • ChiroHD already includes a vast list of ICD codes.

  • Pulls from a third-party database when needed.

  • Internal Server Error means the code already exists.

  • Always search using the ICD code, not the description.

  • Do not use this for bulk uploading or general setup.

📌 Conclusion

The Add ICD DX Code feature in ChiroHD is a targeted tool to ensure you can access any necessary diagnosis code not already listed in the system. By searching codes directly and understanding when and how to use this tool, your office can maintain accurate, up-to-date patient records without duplication or errors.
