How To Transfer Appointments To A Different Provider

If a provider is ending their employment with an office, ChiroHD offers a quick and easy way to transfer their scheduled appointments to a different provider's calendar.

Important: Please follow the instructions below either at the very beginning of your day or at the end of your day. If you perform this process during your business hours, it will split your calendar in half and cause confusion.

Step 1: Set up Provider B's calendar.

  • Provider B (the provider that you are transferring appointments to), has to first have a calendar enabled with provider hours set up. There has to be a place for the appointments to go to.

    • Create a calendar user within the location.

      • You can only enable a calendar on a user that is at the location level. Any System-level user, or muti-location, users cannot have a calendar enabled. If this is the case, just create a new user within the location and DO NOT grant a login.

    • Make sure to set up Provider B's provider hours.

Step 2: Revoke Login for Provider A (the provider that will no longer be in the office).

  • Locate any users that pertains to Provider A. The provider may have a user set up at the system level and the location level.

  • Click Revoke login on any user that displays that button.

  • This process will restrict the user from being able to log into ChiroHD.

Step 3: De-activate Provider A.

  • Log into the location (as this is the only place where you can enable a calendar) Settings > Users.

  • Click on the De-activate button.

  • This process will move the user to inactive status in the location. The user is still visible when you click on the check box next to show inactive. More importantly, this process will trigger the transfer of appointments option.

Step 4: Archive User

  • Click Yes when prompted

Step 5: Transfer Appointments.

  • Select Provider B (the provider that you are transferring appointments to).

  • If you have successfully performed Step 1, you will be able to select Provider B from the drop-down menu Click transfer appointment.

  • If you have not successfully performed Step 1, you will see a message that states there are no providers available to transfer these appointments Click transfer.

At this point, all future scheduled appointments will transfer to Provider B's calendar. If you want to bring back Provider A's calendar tab so that you can see past appointments, click on Settings Users Click on show inactive (if the user is inactive) Click on Provider A's name in blue Calendar Settings Enable Calendar.
