Appointment Linking: What It Is, Setup, and How to Use It

Book multiple same-day appointments as one linked set, manage them together, and control which ones require notes and charges.

📝 Overview

Plenty of patients come in for more than one thing in a single trip: an adjustment, massage, decompression, laser, etc. Until now, the front desk either booked each of those as a separate appointment and hoped they lined up, or squeezed several services into one appointment.

Appointment Linking lets you book those appointments as one linked set. ChiroHD knows they belong together, suggests times that work for the whole set, moves and cancels them together, arrives them together, and marks them on the calendar so anyone can see they go together.

A linked set is always one patient, on one day, with at least two appointments. Before your front desk books its first linked set, someone who manages your settings — usually the owner or office manager — spends about ten minutes on setup.

What Linking Does and Why Clinics Use It

Once appointments are linked:

  • They get booked in one go. Find a Time handles the whole group at once, so you’re not piecing together each appointment slot separately or hunting across multiple calendars.

  • They check in together. Arrive one and you’ve arrived them all — no need to check in each appointment separately when the patient walks in.

  • They can be rescheduled or cancelled as one. Need to move or cancel? Do it once and the whole day’s appointments update together.

  • They’re easy to spot on the calendar. Linked appointments are clearly grouped on the calendar, so there’s no confusion about which visits are part of the same patient trip.

Linked Appointment Templates are predefined sets of multiple appointments scheduled on the same day, saved so staff can book the full day’s visits in one step. The bulk scheduler can book weeks of multi-appointment visits in one pass. ChiroHD warns before anyone moves or cancels one piece of a set on its own. And you decide which appointments in a set need their own SOAP note and charge, so Health Check stops flagging the ones that don’t.

What Changes When It’s On

The appointment drop-down menu gains linking options: Create Linked Appointments, Link Same Day Appointments, Manage Linked Appointments (2), Find a Time, Unlink This Appointment, Unlink All (2), Cancel All (2), and Delete All (2). The number in parentheses changes to match the set. If your location locks linked appointments to their order, an appointment that’s waiting its turn also offers Take Out of Order.

Editing, rescheduling, cancelling, or dragging one linked appointment now asks what you want to do first. Unlinking a live appointment is blocked once the set has started. Cancelling or deleting one appointment on its own still works.

In the patient’s Future Appointments tab, a linked set shows as one row. Patients can’t reschedule or cancel a linked appointment from the patient app — they are asked to call the office instead. An appointment that’s already Treated or Completed can’t be moved to another day, linked or not. You can still change its time on the same day.

What stays the same: every appointment keeps its own SOAP note and charges. With Appointment Linking, you can now specify whether each appointment in a set is expected to require a SOAP note or a charge on the ledger — see the Notes and Charges section below for how to configure this. Linking doesn’t introduce a new reminder policy — if your appointment reminders are configured so that all appointments in the set share the same preset, ChiroHD’s existing text-reminder flow can send one message for a patient’s same-day appointments using the first appointment’s details. Appointment subtypes stay and work the same way.

Not available in this phase: membership model locations, family bookings, multi-day sets, shared SOAP notes, overbooking through Find a Time, and rescheduling a whole care plan in one step.

🪄 Step 1: Run the Setup Wizard

The first time anyone at your location opens Linked Appointments (within the location settings), the section shows only a welcome card. Click Get Started to open the setup wizard, work through the Find a Time and Flow preferences (Steps 2 and 3 below), and click Save and Finish. Nothing is saved until you click that button.

⏱️ Step 2: Find a Time Preferences

These settings decide what Find a Time suggests. They never stop staff from placing an appointment by hand.

Setting

What it does

Default

Maximum Wait Time

Controls the maximum gap allowed between linked appointments. Set to 0 to require back-to-back scheduling; increase it to give Find a Time more flexibility when finding a slot for the full set. Up to 60 minutes.

15 minutes

Linked Appointment Overlap

Controls how early the next appointment in a linked set can start before the previous one finishes. Set to 0 and Find a Time will only suggest times where appointments don’t overlap. Up to 30 minutes.

5 minutes

Alternative Scheduling Preferences

Find a Time prioritizes back-to-back scheduling, but not every schedule allows it. Set your preference here so it knows whether to suggest a wait or some overlap for the times that don’t line up perfectly.

Whichever is shorter

The three options for Alternative Scheduling Preferences:

Option

What it means

Whichever is shorter

Find a Time picks whichever option creates the least time between appointments — whether that’s a short wait or a small overlap.

Wait time

Wait time is the priority. Find a Time will look for times where the patient waits between appointments first, and only suggest overlap when no wait-friendly times exist.

Overlap

Overlap is the priority. Find a Time will look for times where linked appointments can overlap one another first, and only suggest a wait when no overlapping times exist.

⚠️ Wait time and overlap only apply when staff tick them under If Nothing Fits in Find a Time. Without those ticks, Find a Time looks for back-to-back times only.

🏃 Step 3: Linked Appointment Flow

When one linked appointment is done, does the whole set move with it, or does each one move independently? Configure this to fit your practice’s workflow. Arriving one appointment automatically arrives all other Scheduled and Confirmed appointments in the set, regardless of which option you pick.

Option

What it means

Move each appointment freely (default)

Staff move each appointment through the flow tab in any order.

Move them all together

Moving one linked appointment to Treated moves all other linked appointments in the same starting status with it. Any linked appointment already in a different status stays where it is.

Lock them to the order they happen in

Each appointment in the set must reach Treated before the next one can be roomed or marked Treated. Appointments unlock in order by start time, earliest first. When the patient needs to go in a different order that day, use Take out of order on the waiting appointment to let it go first. See When a Linked Appointment Is Waiting Its Turn below.

🧩 Step 4: Create Linked Appointment Templates

A template is a saved combination your office books often. Staff pick it and get the whole set in one step.

System-level Templates and Location-level Templates

Templates exist at two levels. System-level templates are created by a system admin and apply to every location. Location-level templates are created by your location and apply only there.

At the location level, you can customize a system-level template — adjusting the description, whether order matters, and whether it’s active at your location — but you can’t change the name or the appointments themselves. To stop using a system-level template at your location, hover over its ACTIVE button and click SET TO INACTIVE.

Location-level templates are fully editable, including deleting them. Deleting any template never affects appointments already booked from it. Tick Show inactive to see templates that have been set to inactive.

Each location also manages its own preferences — Find a Time settings and Linked Appointment Flow — independently of templates. Those are set in the Preferences card and apply to your location only.

Changing a template does not update appointments already booked from it.

Creating a Template -

  1. In the Templates card, click New Template.

  2. Enter a Name and optional Description.

  3. Under Does The Order Matter?, choose Yes or No.

  4. Click Add Appointment for each appointment in the set — at least two required. Pick an Appointment Type and Sub Type if needed.

  5. Set Notes Required and Charges Required for each appointment. Both start on. Read the Notes and Charges section below before switching either off.

  6. Drag the left handle to reorder appointments. The bar underneath shows the total set length.

  7. Click Save.

📝 Notes and Charges

In a linked set, not every appointment requires the same documentation. Each appointment has two switches:

  • Notes Required: this appointment is expected to have its own SOAP note.

    • Each appointment keeps its own SOAP note. Linking doesn’t combine notes.

    • If switching off Notes Required leaves an insurance case in the set with no appointment requiring a note, ChiroHD shows a warning. It’s a reminder, not a block — make sure a finalized note exists on that case before billing.

  • Charges Required: this appointment is expected to have its own charge/service added to the patient’s ledger.

Both are on by default. Turning one off tells ChiroHD not to expect it for that appointment — it doesn’t stop anyone from writing a note. This keeps Health Check clean by removing those appointments from its missing notes and missing charges lists.

For example: in a Total Health Visit template with an Adjustment and Hydrotherapy, you’d leave both switches on for the Adjustment and turn both off for Hydrotherapy if it’s covered by the adjustment’s note and billed as part of it. If your office bills hydrotherapy separately, leave Charges Required on and switch off only Notes Required.

📅 Step 5 (Optional): Preferred Calendars for an Appointment Type

  1. In your live location > Settings > Appointment Settings, open Appointment Types and click the appointment type.

  2. In the Appointment Type Override window, find Find a Time Preferred Calendars.

  3. Click + Add a preferred calendar and drag them into priority order.

  4. Leave Allow fallback to other calendars on to let Find a Time offer every other calendar after your list, or turn it off to restrict it to your list only.

  5. Click Save.

With nothing set, Find a Time treats every calendar equally. Staff can always place any appointment on any calendar by hand.

📅 Booking Linked Appointments with Find a Time

When a patient needs two or more appointments on the same day, book them together in the Create Linked Appointments window. Open it by clicking the link icon in the calendar header. If you already have a patient’s snapshot open, the patient will be pulled in automatically. Otherwise, use the search box under Patient Lookup to find them.

Once the patient is selected, choose how to build the set:

  • Start with Template loads a preset combination. The calendars shown at the top of the window are pulled from your appointment type preferences. You can add additional appointments to the template if needed before moving on.

  • Start with Appointment Type lets you build the set yourself, one appointment at a time. For each appointment, pick the Appointment Type, Patient Case, Sub Type if needed, Calendar (leave on Any to let Find a Time choose), and any Appointment Notes. Click Add and repeat until every appointment is in the window.

Once your set is built, click Find a Time.

💡 Before clicking Find a Time, ChiroHD pre-selects the time slot you clicked on the calendar when opening the window. It uses that as your preferred starting point — check it before running the search.

In the Find a Time panel:

  • Use the date picker to select the day, or click Go to Today.

  • Set Desired Start Times to narrow the search to a time range.

  • Use the Calendars dropdown to limit Find a Time to specific calendars, or leave it on All to search across every valid calendar.

  • If nothing fits back to back, expand your options under If Nothing Fits: tick Other Calendars, Different Order, Wait Time, or Overlap to give Find a Time more flexibility.

Under Suggested Schedules, each row is a complete schedule for the whole set. The best option is marked Recommended. Scroll down to see all available options.

  • Click Preview to see how the appointments would sit on the calendar before committing. On the preview screen, you can drag and drop appointments to adjust placement if needed.

  • Click Book to book the set immediately.

⚠️ When starting from a template, ChiroHD places the set at the best open time it finds, which may not be what the patient wants. Check the start time before booking.

💡 If a template’s order is fixed, click Allow a different order in Find a Time to see more options for this booking only. The template itself doesn’t change.

Two additional rules worth knowing: an appointment that’s part of a family booking can’t be linked, and different cases are fine — an adjustment on an insurance case and a massage on a cash case can be one set.

🔗 Linking Appointments Already on Your Calendar

If appointments were booked separately but belong together, you don’t have to rebook them. The two tools below link them as-is — neither one moves, reschedules, or changes an appointment in any way.

Link Same Day Appointments

Use this when you spot one patient’s appointments on the same day that should be linked.

  1. Click the drop-down arrow on one of the appointments.

  2. Click Link Same Day Appointments.

  3. ChiroHD finds the patient’s other appointments on the same day that fall within your Maximum Wait Time and shows you what it found.

  4. Review the list and confirm. Nothing is linked until you confirm.

💡 If no other appointments appear, the patient’s other appointments that day are either already linked or fall outside your Maximum Wait Time setting.

Find Appointments to Link

Use this when you want to sweep your entire upcoming schedule and link same-day appointments across all patients at once. This is especially useful right after turning linking on for the first time.

  1. Go to Settings → Appointment Settings → Linked Appointments → Manage.

  2. Adjust the wait time and overlap tolerance for this search if needed — these changes apply to this search only and don’t affect your location’s saved settings.

  3. Click Next. Every row starts unticked.

  4. Review the rows and tick only the ones you want linked.

  5. Click Link Visits and confirm. A progress bar tracks progress — you can stop at any time, and any sets created before you stop stay on your calendar.

⚠️ Links on past appointments can’t be undone. Once any appointment in a set has started or been completed, the set can’t be unlinked. Check your selections carefully before confirming.

💡 You can run Find Appointments to Link as often as you like. Each run only shows what isn’t already linked.

📋 Bulk Scheduling Linked Appointments

The bulk scheduler works the same way it always has — the only difference is how you start it and what gets booked at each visit.

  1. Open the patient’s profile and go to the Scheduling tab.

  2. Select the patient’s case.

  3. Under How do you want to schedule visits?, select Visits with Multiple Linked Appointments.

  4. Choose Start with Template to use a saved linked appointment combination, or Build Custom to set up the appointment set yourself.

  5. A preview of the linked appointments appears at the top of the bulk scheduler so you can confirm the set before building the schedule.

  6. Fill out the rest of the bulk scheduler as normal — preferred days, times, frequency, and phases. Every visit in the plan will book that same linked set.

When reviewing visits, red rows couldn’t be placed — click Find a Time on that row to find an available slot, or click the x to skip it. Schedule Appointments stays unavailable until every row is resolved or removed.

💡 A single plan checks up to 200 visits at once across all phases. For longer care plans, schedule in separate batches. To change a plan after it’s booked, delete the future visits from the patient’s Future Appointments tab and run the bulk scheduler again.

Linked Appointments on the Calendar and Flow Tab

Every appointment in a linked set shows a link icon beside the patient’s name on the calendar. Hovering over the icon highlights the rest of the set and shows how many appointments are in it. Clicking it opens Manage Linked Appointments for the whole set.

In Provider View, hovering over a linked appointment shows a Linked Visit summary listing all visible appointments in the set. If part of a set appears to be missing, check which calendars you have switched on — the popup shows a count of any appointments on calendars that are currently hidden.

On the Flow tab, linked appointments carry the same link icon. Each appointment still has its own card since each may need its own room and provider.

Arriving a linked set: marking one appointment as Arrived automatically arrives all other Scheduled and Confirmed appointments in the set, whether you arrive it from the calendar, the Flow tab, patient check-in, or the patient’s reply to a check-in text message. What happens after arrival depends on your Linked Appointment Flow setting.

When a Linked Appointment Is Waiting Its Turn

This section only applies if your Linked Appointment Flow setting is Lock them to the order they happen in. Once the set has been arrived, each appointment waits for the one ahead of it to reach Treated. The first appointment is free to go, and the ones after it wait their turn.

Where you’ll see it. A waiting appointment is marked in three places. The label names the appointment it’s waiting on, for example ⏳ Waiting on Adjustment. The first appointment in the set shows nothing.

  • Flow tab: the waiting card shows the label and a Take out of order link.

  • Appointment queue on the patient chart page: the waiting appointment shows the label with Take out of order under it. It’s dimmed and sorts below patients who are ready. If your office uses Call Patient or Assign Patient, that button is unavailable for it. When the appointment is open on the chart, the same label and link show at the top.

  • Calendar: a small lock next to the Arrived hourglass and faint diagonal stripes on the appointment. Hover over the lock to read the label. The appointment’s drop-down arrow offers Take Out of Order, just below Find a Time.

What a waiting appointment can and can’t do. It can’t be put in a room or marked Treated until its turn comes, from any screen. If someone tries, ChiroHD says which appointment it’s waiting on and what to do. Everything else still works: staff can open it, write and save its note, check it out, cancel it, or mark it Missed. Saving the note keeps the note. The appointment just stays where it is until it’s free.

What frees it. A waiting appointment is free to go as soon as the one ahead of it reaches Treated or Completed. If the one ahead is cancelled, marked Missed, or moved, it no longer counts, and the next one is free. The Flow tab updates right away. The queue and the calendar can take a moment to catch up.

Take out of order. Use this when the patient needs to go in a different order today, for example when the doctor is running behind and the massage therapist is ready first. Click Take out of order on the waiting appointment: on the Flow tab, in the queue, at the top of the chart, or from its drop-down arrow on the calendar. There’s no confirmation step.

  • The appointment you picked goes next, and the one it was waiting on now waits for it.

  • Start times don’t change. Only the order of the visit changes.

  • In a set of three or more, any appointment that’s already Treated keeps its place, and the rest keep their order.

  • To swap back, click Take out of order on the other appointment.

  • It only appears on an arrived appointment that’s actually waiting. Anyone at your location can use it.

  • It’s refused if the appointment ahead is already in a room. Finish that one and mark it Treated, and the waiting one is free on its own.

✏️ Changing, Moving, Unlinking, and Deleting

What you need to do

How to do it

Change appointment details

Open the set with Manage Linked Appointments, click the appointment, make your changes, and save. Avoid editing from the calendar directly — it will ask whether to remove the appointment from the set first.

Move the whole set

Use Find a Time from the drop-down arrow, or drag any appointment to a new time and choose Move All. Use Find a Time to move a set to a different day or a time that has passed.

Change one appointment on its own

Edit from the calendar — ChiroHD asks first. Choose Edit Linked Appointments to work on the whole set, or proceed to unlink that appointment and change it on its own.

Unlink one appointment

Use Unlink This Appointment from the drop-down arrow. The appointment stays on the calendar at its current time.

Unlink the whole set

Use Unlink All from the drop-down arrow. All appointments stay on the calendar at their current times.

Cancel or delete the whole set

Use Cancel All or Delete All from the drop-down arrow. Use Delete only for appointments entered by mistake.

Cancel or delete one appointment

Select it from the calendar — ChiroHD always confirms first. If the change affects the rest of the set, the confirmation explains what changes.

Clear future visits in bulk

In the patient’s Future Appointments tab, tick the rows and use Cancel Selected or Delete Selected.

Patient wants to change from the app

Patients can’t move or cancel linked appointments from the patient app. Make the change for them in ChiroHD.

🔒 Once any appointment in the set has started, a single edit, reschedule, or move can’t take it out of the set. Once any appointment has been arrived, treated, completed, or marked missed, the set can’t be unlinked. Cancelling or deleting one appointment on its own still works in both cases.

📅 An appointment that’s already Treated or Completed can’t be moved to another day, whether you use Reschedule Appointment or drag it. Its note and charges are dated for the day of the visit. You can still move it to a new time on the same day.

✅ Key Takeaways

  • A linked set is one patient, one day, two or more appointments. Membership locations, family bookings, and multi-day sets are not supported in this phase.

  • Setup lives in Settings → Appointment Settings → Linked Appointments. Booking happens on the calendar.

  • Find a Time suggests complete schedules for the whole set. Wait time and overlap only apply when staff tick them under If Nothing Fits.

  • Arriving one appointment also arrives its Scheduled and Confirmed siblings. The flow setting controls what happens on the board after that.

  • With Lock them to the order they happen in, each appointment waits for the one ahead of it to reach Treated. Use Take out of order when the patient needs a different order. Start times don’t change.

  • A Treated or Completed appointment can’t be moved to another day. A new time on the same day still works.

  • Make changes through Manage Linked Appointments, Find a Time, or drag and Move All. Once any appointment in a set has started, it can’t be unlinked — but cancelling or deleting one appointment still works.

  • Notes Required and Charges Required start on. Switching one off removes the appointment from the matching Health Check list. With Charges Required off, the appointment won’t appear when posting a charge.

📌 Conclusion

If a patient needs two or more appointments on the same day, link them. If your office books the same combination regularly, make it a template. If your providers need a linked visit seen in order, choose Lock them to the order they happen in, and use Take out of order on the days the order flips. If you’ve just turned linking on, run Find Appointments to Link once to catch up — after that, use Link Same Day Appointments whenever you spot a pair booked separately. Switch a notes or charges requirement off only when another appointment in the same set always carries that note or charge. If you’re not sure, leave it on.
