Learn how to use the Inventory by Category report in All Reports Beta to see patient-level inventory item charge transactions organized by inventory category within a date range, with optional filters for category and billing provider.

Overview

The Inventory by Item Category report allows you to find inventory items added to patient ledgers, organized by category rather than individual items. This is the report to use when you want to review activity at the category level — the grouping — rather than searching for specific inventory items one at a time. It is the inventory counterpart to the Services by Category report.

NOTE: If you need to search for individual or multi-selected inventory or service items, use the Sales Report by Service / Inventory Item instead. The Inventory by Item Category report is specifically for reviewing categories as a whole.

Use the Sales Report for a quick aggregate total of inventory items sold. Use By Service / Inventory Item when you need to find transactions for a specific product by name. Use this report when you want to see all inventory charge activity grouped or filtered by product category.


Understanding Inventory Item Categories

Inventory categories are assigned to each inventory item when it is set up in ChiroHD. They are fixed categories defined by ChiroHD — not customizable by individual offices. The available inventory item categories are:

  • Supplements

  • DME (Durable Medical Equipment)

  • Weight Loss

  • Inventory Misc

  • Lab Test (Inventory)

Note: An inventory item will only appear in this report under the category it was assigned when created. If items are appearing under the wrong category, the assignment needs to be corrected at the system level.

To review or update an item's category, navigate to System Dashboard > System Settings > Inventory, click on the item you'd like to change, and edit the category.

TIP: Sorting by Category is especially useful when running without a category filter — it groups all transactions by product type so you can review each category's activity together rather than interleaved by date.


Filter Details

Charged Between / And (Required)

Sets the date window for the report. Includes any inventory item charge added to a patient's ledger within this range, keyed off the charge date — not the date the product was dispensed or the date a payment was received.

Sort By and Sort Direction (Required)

You can sort the output by:

  • Date — chronological order by charge date (default, newest first)

  • First Name — alphabetical by patient first name

  • Last Name — alphabetical by patient last name

  • Category — grouped alphabetically by inventory category

Tip: Sorting by Category is especially useful when running the report without a category filter — it groups all transactions under their respective category so you can review each product type's activity together rather than interleaved by date.

Sort direction defaults to descending. Change to ascending for oldest-to-newest or A–Z ordering.

Inventory Category (Optional)

If left blank, the report returns transactions for all inventory categories within the date range. Select one or more categories to narrow results to only those product types.

Example: To see all supplement sales in the last quarter, select Supplements from the category filter and run the report.

Billing Provider (Optional)

Filter the report to charges attributed to a specific billing provider. If left blank, charges from all providers are included.


Understanding the Report Results

The report displays all inventory items added to patient ledgers during the selected date range. For each transaction line, you will see:

  • Patient name

  • The inventory item charged and its category

  • The charge date

  • The charge amount (total billed)

  • Total number of transactions — how many times the item was added to a ledger

The report includes a running total so you can see aggregate amounts across the output.

Important limitations:

  • This report reflects billed amounts only — it does not account for collections or payments. If you need collection data, use a different report.

  • Inline write-offs applied at the time of charge are not reflected. The report shows gross billed amounts only.

  • Sales tax is not included. Tax on inventory items is tracked separately in the Tax Information Report. For a complete picture of inventory revenue including tax, run both reports.


What This Report Does Not Show

  • Inline write-offs — gross billed amounts only

  • Sales tax — use the Tax Information Report for tax data

  • Services — use the Services by Category report for service transactions

  • Payments — use the Collections Report for payment data

  • Insurance vs. patient responsibility split — the report shows the total charge amount only


Common Use Cases

  • Supplement sales tracking — Filter to the Supplements category to see every patient who purchased a supplement product in a period, with dates and amounts

  • DME revenue review — Filter to DME to track durable medical equipment sales by patient and date

  • Category-level product revenue — Run without a filter and sort by Category to get a full breakdown of inventory revenue by product type for the period

  • Provider-specific inventory sales — Filter by billing provider and category to see inventory charges attributed to a specific provider

  • Tax reporting preparation — Use this report alongside the Tax Information Report to see which patients were charged for taxable inventory items and cross-reference with the tax amounts applied

  • Inventory performance review — Compare category totals across multiple periods to identify which product categories are growing or declining


Common Questions

  • What is the difference between this report and the Sales Report? The Sales Report shows aggregate totals for all services and inventory items combined — one number per line item across all patients. This report breaks inventory transactions down to the patient level and organizes them by category. Use the Sales Report for quick totals; use this report when you need to see who purchased what and when, organized by product type.

  • What is the difference between this report and By Service / Inventory Item? By Service / Inventory Item lets you filter to a specific product by name and shows transactions for both services and inventory items. This report filters and sorts by inventory category only, and covers inventory items exclusively. Use By Service / Inventory Item when you know the specific product you are looking for; use this report when you want to see all products within a category.

  • Why doesn't this report show the tax on inventory items? Sales tax on inventory items is tracked separately in the Tax Information Report. This report shows the base charge amount only. For a complete view of what was charged and what tax was applied, run both reports and combine the data.

  • What if an inventory item is assigned to the wrong category? The report will show that item under whatever category it was assigned in your inventory settings. If items are appearing in the wrong category bucket, the category assignment needs to be corrected in inventory settings. The report itself cannot override how categories are assigned.

  • Can I filter to multiple inventory categories at once? Yes — the Inventory Category filter accepts multiple selections. Select as many categories as you need and the report will return transactions for all of them.

  • Why are some inventory items not appearing? A few possible reasons:

    • The item may not have been charged within the date range selected — try widening the date range

    • The item may be assigned to a category you have filtered out — try removing the category filter and running without it

    • The item may have been added as a service rather than an inventory item — in that case it would appear in the Services by Category report instead
