Visit Tracker Setup in Patient Profile

Easily learn how to set up and use the two primary visit tracker methods in ChiroHD, including setup details and pacing options.

The Visit Tracker allows offices to create individualized tracking plans directly within the patient profile. Offices can track visit counts, service packages, pacing expectations, and care plan progress.


Before You Begin

  1. Ensure the Visit Tracker feature is enabled.
    ​
    ​If you do not see this tab, please contact ChiroHD Support as the Visit Tracking feature has to be turned on by a support team member.

  2. Confirm all services are correctly configured under Tracking/Reporting categories.

    ​​To access this setting, navigate to: System Dashboard > System Settings > System Configuration > Tracking and Reporting.

Accessing the Visit Tracker

  • Navigate to the Patient Profile, Visit Tracker Tab to setup the Visit Tracker for the patient.

Visit Tracker Setup Fields

Click Add Visit Tracker to see these Visit Tracker Setup Fields.

A. Name (Optional)
The name of the tracker. Appears on the snapshot.

B. Visit Type
Determines what charges are counted, based on Tracking/Reporting categories.

C. Color
Sets a desired color for the tracker. This will appear as a colored box at the beginning of a tracker. Click into the field and a color picker will appear.

D. Start on the Morning of

Start date for counting charges. If post-dated, counts from that day forward.

E. Minimum Count
Minimum number of charges before the tracker shows in the snapshot. Setting this to 0 makes it appear immediately.

F. Max Count
Total number of charges to be reached for a tracker or phase. For example, if the first phase in a care plan is 12 visits, then you would set up the visit tracker max visit to 12.

Important: Min and max values define the range of visits being tracked. The minimum value (Min) is the first visit to track, while the maximum value (Max) is the last. The min and max values cannot be identical; for example, setting both to 8 means the tracker will only count that specific visit.

G. Expected Number of Weeks

The amount of weeks that it should take to complete the phase/tracker (not required).

This field is what will prompt the visit tracker to incorporate the pacing features.
If Expected Weeks field is left blank, the visit tracker will revert back to Method 1: Simple Counting.

H. Clear on End

If true, the tracker will disappear from the visit tracker snapshot once the max visits have been reached. This method is used if an office only wants to see what tracker the patient is currently on, they do not wish to see completed or future trackers.

If false, the tracker will remain visible on the tracker snapshot. This method is used if an office wants to see current and past completed trackers.

I. Number to Add to Start

This field is only used for migrated offices where a patient’s care plan spans two systems. It lets you start the visit tracker from the original care plan date while accounting for visits already completed in the previous system (and not shown on the current ledger).

For example, if a care plan has 24 visits but 10 were finished in the old system, entering β€œ10” ensures the tracker begins accurately and continues seamlessly without requiring manual adjustments.


Understanding the Progress Bars

Method 1: Simple Counting

  • Blue progress bar only

  • Displays percentage completed

Method 2: Pacing/Frequency Tracking

Progress bar color changes based on pacing:

  • Blue = On pace

  • Orange = Slightly over or under pace

  • Red = Significantly over or under pace

A pacing dot indicates where the patient should currently be within the care plan timeline.


Troubleshooting

If Visit Tracker totals appear incorrect:

  1. Review Tracking/Reporting category assignments

  2. Confirm services are assigned to the correct category

  3. Reassign categories if necessary

Incorrect categorization is the most common cause of Visit Tracker discrepancies.
