Accessing Task List Templates
To create or manage your task templates, navigate to your System Dashboard, System Settings, Task List Templates.
What is a Task List Template?
A Task List is a customizable digital checklist designed to replace manual checklists often found in file folders. Examples of tasks might include:
Upload profile photo
Scan insurance cards
Schedule visits
Create and upload care plan
Add diagnosis (DX) and CPT codes
These task templates ensure consistency, visibility, and accountability within the practice.
Example: Day of New Patient Appointment Template
This example template contains tasks such as:

Each task can be given a name, description, and days due from the time the template is uploaded.
Creating a Task List Template
To create:
Click “Create Task List”
Name the template.
Click Add Task List Item to insert checklist items
Enter task name, description, and due date and optional patient alert.
Use drag-and-drop to reorder tasks.
Delete tasks as needed.
Due Dates Field (Days Due After Creation)
Set the number of days after upload that each task should be due
Zero = due immediately
Helps generate due dates for proper task tracking
Adding Patient Alerts to Task Templates
You can optionally add a patient alert to each task using:
Exact Date
Approximate Date
⚠️ For more complex alert configurations, use Patient Alert Templates, not Task List Templates.
Automating Task Templates with Triggers
To automate uploads based on events:
Navigate to System Dashboard, System Settings, Triggers
Example trigger:
Name: Day One Arrive
Condition: New patient appointment is marked as “Arrived”
Action: Upload task template 0 minutes after arrival
May take up to 5 minutes to appear, even with a “0-minute” delay
Viewing and Managing Tasks in a Patient Profile
You can view a Task List in a Patient Profile, Patient Tab, Tasks Tab.
Once uploaded:
Tasks that are overdue display in red in the Tasks Tab.
You can:
Mark tasks as complete (individually or in bulk)
Delete tasks (not recommended if they are necessary)
A progress bar appears on the patient snapshot.
Uploading Task Templates Manually
From the patient profile:
Go to the Tasks tab
Create an individual task or
Upload from a template
Individual tasks can include:
Title and description
Assigned user
Due date
Patient alert
Assigning Tasks to Users
Tasks can only be assigned to location-level users.
If your users are set up at the system level, they won’t appear in the dropdown.
Workaround for Assigning Tasks:
Navigate to Settings, Users, Create User
Choose Provider Type
Disable login/calendar if not needed
Use this as a placeholder to assign tasks
⚠️ Do not move system-level users. Instead, create a dummy user at the location level to assign tasks as needed.
Using Multiple Task Templates
You can upload multiple task templates to the same patient profile. For example:
