How to Bulk Schedule an Appointment

Efficiently schedule multiple appointments at once for individuals or families using ChiroHD's bulk scheduling tool. Easily follow these steps to manage recurring visits for your patients.

Bulk scheduling in ChiroHD allows providers and staff to quickly set up a series of appointments for a patient or their family in just a few clicks. This feature streamlines scheduling repetitive visits, minimizing manual entry and reducing errors.


Accessing Bulk Scheduling

  • Navigate to the Bulk Scheduling:

    • From the Patient's Snapshot, click the Bulk Schedule icon, or

    • From within the Patient’s Profile, go to the Scheduling tab.


How to Bulk Schedule an Appointment

  • Select the patient’s case.
    The system defaults to their designated default case, but this can be changed.

  • Choose the provider.
    Select the doctor or therapist responsible for the care.

  • Set Base Appointment Type.
    Typically “Adjustment,” though others may be selected if applicable.

  • Add base subtypes (Optional).
    Used when specific appointment subtypes are part of the care plan.

  • Schedule family members (Optional).
    You have the option to schedule an individual appointment, or if the Patient's Family is set up under the Family tab, you will see the Family Members available to choose to bulk schedule for all or specific family members.

  • Select care plan or template.
    Pick a care plan or a bulk scheduling template as appropriate. If you have questions on this process, please see the section on Setting up Care Plan Templates below. The system will pre-populate special appointments based on your template (e.g., Re-exam on visit 12, X-ray on visit 24).

  • Define scheduling pattern.
    Set the number and frequency of appointments (e.g., 24 adjustments, twice a week).

  • Overbook appointment slots.
    You may also allow the system to overbook appointments if no availability exists at the preferred time.

  • Preview appointment conflicts.
    Click Check appointments to review all proposed appointments.

  • Review and Schedule Appointments

    • Any scheduling conflicts will be highlighted in red, showing conflict reasons (e.g., no office hours at selected times).

    • Adjust day/time by clicking on the conflicted appointment, then confirm changes.

    • Red highlights will disappear upon conflict resolution.

  • Finalize scheduling.
    Once all appointments are confirmed and conflicts resolved, click Schedule Appointment.

  • Confirmation.
    All appointments will be created and listed.


Setting Up Care Plan Templates

Before using the Bulk Scheduler, care plan templates must be configured under by navigating to System Settings, Care Plan Templates.

Each template defines:

  • Visit frequency (e.g., 3x/week for 6 weeks)

  • Phase structure (e.g., 3 distinct phases)

  • Special appointment types (e.g., Report of Findings, Re-exam, X-ray)

  • Subtype appointments (e.g., adjustments with cupping)

These templates serve as the backbone of the bulk scheduling process.
