The Bulk Scheduler in ChiroHD is a comprehensive tool that allows practices to schedule full care plans efficiently across multiple visits and phases. This tool is particularly effective for managing high-volume scheduling, streamlining family scheduling, and ensuring adherence to predefined care pacing.


Prerequisite: Set Up Care Plan Templates

Before using the Bulk Scheduler, care plan templates must be configured under:

  • System Settings > Care Plan Templates

Each template defines:

  • Visit frequency (e.g., 3x/week for 6 weeks)

  • Phase structure (e.g., 3 distinct phases)

  • Special appointment types (e.g., Report of Findings, Re-exam, X-ray)

  • Subtype appointments (e.g., adjustments with cupping)

These templates serve as the backbone of the bulk scheduling process.


Accessing the Bulk Scheduler

To use the Bulk Scheduler:

  1. Open the patient’s Snapshot.

  2. Click the Bulk Schedule icon located among the shortcut buttons.

This will open the scheduling interface for that patient.


Step-by-Step: Scheduling a Care Plan

Step 1: Select Core Parameters

Within the Bulk Scheduler:

  • Select the patient’s case
    The system defaults to their designated default case, but this can be changed.

  • Choose the provider
    Select the doctor or therapist responsible for the care.

  • Set base appointment type
    Typically “Adjustment,” though others may be selected if applicable.

  • Optional: Add base subtypes
    Used when specific appointment subtypes are part of the care plan.

  • Schedule family members (optional)
    You can schedule multiple family members from the same screen.


Step 2: Build or Apply a Care Plan

You can either:

  • Build a care plan manually, phase-by-phase:

    • Define visit count, weekly frequency, and days per week

    • Customize pacing across weeks and phases

OR

  • Apply a preconfigured Care Plan Template:

    • Automatically populates visit pacing

    • Includes built-in special appointment types (e.g., re-exam, cupping)

You may also allow the system to:

  • Overbook appointment slots if no availability exists at the preferred time


Step 3: Review and Schedule Appointments

Once the plan is built:

  • Review all scheduled dates

  • Conflicts (e.g., unavailable time slots) are flagged

  • Manually adjust any problematic visits

The system will pre-populate special appointments based on your template (e.g., Re-exam on visit 12, X-ray on visit 24).

When ready, click Schedule Appointments.


Creating a Care Plan Record

If selected, a care plan tracker will be created within the patient’s profile. This will:

  • Track weekly visit expectations vs. actual visits

  • Identify under-pacing or over-pacing

  • Monitor total completed visits by phase

This information is displayed in the Patient Snapshot and updated dynamically as the patient checks in.


Canceling Future Appointments

To manage changes:

  1. Click Cancel Future Appointments in the Patient Snapshot.

  2. Select:

    • Appointment type(s) to cancel (e.g., only adjustments)

    • Specific days of the week (e.g., cancel all Monday visits)

    • Or cancel all future appointments

Click Process Cancellation to confirm.
