📝 Overview
The Acknowledgements feature gives you two things in one place: a permanent record of every agreement you've signed in ChiroHD (like your Business Associate Agreement and Master Service Agreement), and the tools to create your own custom acknowledgements for your staff to sign at login. Whether you need to confirm a policy update, complete a HIPAA training acknowledgment, or simply keep a timestamped record of team sign-offs, this feature handles it.
Accessing Acknowledgements
Acknowledgements can be accessed from both the System Dashboard and from within a live location.
From the System Dashboard:
Navigate to the System Dashboard.
Click the drop-down arrow next to your username in the top right corner.
Select Acknowledgements.
From a Live Location:
Log into your live location.
Click the drop-down arrow next to your username in the top right corner.
Select Acknowledgements.
Viewing Your Signed Agreements
Once you're on the Agreements / Acknowledgements page, you'll see a table with four columns: Title, Version, Date Signed, and Link.
Click any document Title to open a preview of what you signed.
The documents you'll typically see here include your Business Associate Agreement (BAA) and your Master Service Agreement (MSA).
If ChiroHD has issued any other network-wide acknowledgements, those will appear here as well.
Note: Only the primary onboarding user is automatically prompted to sign ChiroHD's system agreements at first login. Staff members and secondary admins who didn't go through onboarding won't see ChiroHD's system documents here — but they will see any custom acknowledgements your administrator has assigned to them.
Creating Custom Acknowledgements (System Admins)
System Admins can create their own acknowledgements and require team members to sign them at login before accessing ChiroHD.
This is ideal for internal policy updates, HIPAA training confirmations, onboarding checklists, or any document where you need a timestamped signature.
Navigate to System Dashboard, System Settings, Acknowledgements, click the blue Click here to create a new acknowledgment button.
Fill in the following fields:
Name — The title of the document. Keep it clear and descriptive.
Acknowledgement Version — A version number (e.g.,
1.0). When you update a document, increment the version — users will be prompted to re-sign.Status — Set to Draft while building, then switch to Live when you're ready for users to see it.
Dismissible —
Set to True if users must sign before they can continue into ChiroHD.
Set to False if users can dismiss without signing (useful for informational notices).Signatory Users — Apply to all users across your network, or to location users at specific locations only.
Acknowledgment Message (optional) — A short cover note displayed before the document body, e.g., "Please review and sign the updated staff policy below."
Acknowledgment Content — The full body of the document to be signed.
Click Create Acknowledgment.
Using Macros in Acknowledgement Content
You can personalize acknowledgment content using macros.
Type each macro exactly as shown, including the double curly braces. Supported macros:
{{ORGANIZATION_NAME}}— The user's organization name{{LOCATION_NAME}}— The user's location name{{SIGNOR_NAME}}— The signer's full name{{DATE}}— The date of signing (MM/DD/YY){{YEAR_LAST_TWO}}— The current year, last two digits (e.g.,25){{FULL_YEAR}}— The full four-digit year (e.g.,2025)
In Preview mode (click on the eye icon)
you'll see the placeholder text as-is — substitution only happens when a real user is presented with the live signing prompt.When a user is presented with the live signing prompt, ChiroHD automatically replaces these placeholders with real data pulled from their profile and location — so one document works across your entire network.
Managing Acknowledgements
The Acknowledgment Dashboard (System Dashboard, System Settings, Acknowledgements) gives you a full view of everything in your system:
Live — currently active and being shown to users at login
Draft — in progress, not yet visible to users
In Use — documents that have already been signed by users
Edit or Delete: From this dashboard you can edit or delete acknowledgements as needed by clicking the pencil icon on the right side.
Add New Version: To prompt users to re-acknowledge a policy change, update the version number — the system will present the new version at their next login. Click Add Version, edit the body and the version number, Save and then when you're ready to push a Draft live, click Set Live on the acknowledgment.
