Multi-Provider Electronic Signature Button Setup

Learn how to configure a SOAP note macro that lets each provider select their own name when signing — ideal for practices with multiple doctors or shared workstations.

Overview

ChiroHD includes a default electronic signature button in your SOAP note macros. This button is set up as an Advanced Macro that automatically pulls the name of the provider currently logged into the device. This works well for single-provider offices.
However, if your practice has multiple providers — or providers who share computers — there is a better option: building a Select-type Advanced Macro that presents a dropdown of provider names at signing time. This article walks you through how to set that up.


Why Use a Multi-Provider Signature Macro?

The default electronic signature macro pulls the name of the user currently logged into the device.

This custom signature macro may be beneficial when:

  • Multiple providers use the same workstation.

  • Providers do not always log in using their own user account.

  • The office wants providers to manually select their name when signing a SOAP note.


Accessing Macro Settings

System-Level Macros:

Navigate to your System Dashboard, System Settings, SOAP Macros.


Location-Level Macros:

Navigate to your Live Location, Settings, Initial Setup, SOAP Macros.


Building the Multi-Provider Signature Macro

  1. Create a new macro

    • Click on an empty space in the macro editor to create a new macro.

    • Give it a clear Label. For example, Electronic Signature

    • Assign it a Color so providers can easily identify it on the SOAP note screen.

  2. Add your signature text.

    • Type your opening signature text directly into the macro body — for example: Electronically signed by

  3. Add a Select Advanced Macro

    • Click Add Advanced Macro and choose the Select type.

    • Set a title for the dropdown — this is what providers will see when the macro pops up (for example, Select Provider).

    • Click Add Option for each provider.

    • For each option, fill in:

      • Label — the name shown in the dropdown (e.g., Dr. Jane Smith)

      • Output Text — what gets inserted into the SOAP note (e.g., Dr. Jane Smith, DC)


    IMPORTANT — Capitalization: The Output Text field lowercases everything automatically. Type provider names in the correct capitalized format so the final SOAP note reads correctly. Double-check each entry before saving.

    • Repeat this for every provider in the practice.

  4. Add the timestamp.

    • After your provider dropdown, click Add Advanced Macro again and insert a date/time option.

    • You have two choices:

      • Current Date (Recommended) — inserts the date and time the SOAP note was actually submitted. This is the most accurate record of when the note was completed.

      • Appointment Date — inserts the date and time of the appointment itself.

  5. Click Save. The macro is now available on the SOAP note screen.


What Providers Will See

When a provider is ready to sign:

  • They click the Electronic Signature macro button.

  • A window appears with the provider names you configured.

  • The provider selects their name, and the macro inserts the full signature line — including the timestamp — into the note.
