Accessing Patient Alert Templates in System and Location

Patient Alert Templates can be created at either the system level or location level. System-level templates are available to all locations, while location-level templates are specific to the location where they are created.

Purpose of Patient Alert Templates

Patient Alert Templates are pre-configured collections of alerts that can be added to a patient's profile with a single action.

These templates are commonly used to:

  • Mirror care plans or treatment packages.

  • Track patient progress through care.

  • Remind staff about re-examinations.

  • Notify staff when a patient reaches a milestone.

  • Alert patients when they have reached visit limits.

  • Ensure important care plan tasks are not overlooked.


Creating a Patient Alert Template

To create a new template:

  1. Navigate to System Settings, Patient Alert Templates.

  2. Click Create System Patient Alert Template.

  3. Enter a name for the template.

  4. Click Add Alert to begin configuring alerts.

  5. Repeat as needed to add additional alerts.

  6. Click Submit to save the template.


Configuring Alert Settings

When creating an alert, you'll define how and when the alert should trigger.

A. Template Name
Enter a descriptive name for the alert template. Many offices name templates after a care plan, treatment package, or workflow they are designed to support.

B. Selecting a Trigger Type

Select the type of alert you would like to create. Available trigger types include:

  • Charge Count

  • Appointment Count

  • Next Appointment

  • Approximate Date

The selected trigger type determines when the alert will be displayed.

C. Office Internal Message

The Office Internal Message is displayed to staff when the alert is triggered. Use this field to provide reminders, instructions, or other important information related to the patient's care.

D. Patient Message (Optional)

The Patient Message is displayed to the patient during check-in when the alert is triggered. This field is optional and can be used to communicate milestones, reminders, or next steps to the patient.


Example:
Congratulations! You're halfway through your care plan.

E. Tracking

The Tracking field determines what Appointment Category this alert is monitoring. Depending on the appointment category you selected, you may choose to track items such as chiropractic visits, massage visits, or other tracked services.

F. Count

The Count field determines when an alert will trigger.

Example:

  • For Approximate Date alerts, the Count represents the number of days until the alert should be triggered.

  • For Charge Count alerts, the count of 6 will trigger the alert on the 6th qualifying charge.

  • For Charge Count alerts, the count of 12 will trigger the alert on the 12th qualifying charge.

G. Alert Display Options

By default, alerts are displayed in the office notification area at the bottom of ChiroHD if no boxes are checked.

For increased visibility, you may also choose additional display options, including:

  • Block From Queue

  • Pop Up

  • Prompt Provider

These options help ensure important notifications are seen by staff when the alert is triggered.


Managing Alerts Within an Alert Template

While editing a template, you can:

  • Add new alerts by clicking Add Alert in the upper-right corner.

  • Edit existing alerts by modifying the alert settings directly within the template.

  • Delete alerts by clicking the red X next to the alert.

  • Reorder alerts by dragging and dropping them into the desired sequence.

Once your changes are complete, click Submit to save the template.

  • Charge Count alert

  • 6th chiropractic charge

  • Internal Message: Patient is halfway through their care plan.

  • Optional Patient Message: Congratulations! You're halfway through your care plan.

  • Tracking Category: Chiropractic Visits

This alert will trigger after six qualifying chiropractic charges have been posted to the patient's ledger.

Example: Re-Exam Reminder

You may want to create a reminder for:

  • Charge Count alert

  • 11th chiropractic visit.

  • Internal Message: Schedule re-exam before next visit.

  • 12th chiropractic charge
