  • Streamlining SOAP note entries

  • Ensuring consistent billing procedures across clinics

For example, if you're offering a $21 New Patient Special that includes two X-rays and an initial consultation, you can create a transaction preset that includes those services and automatically applies a write-off to reflect the promotional pricing.


2. Key Configuration Settings in a Transaction Preset

When editing or creating a transaction preset, you’ll see the following options:

Name

A clear, descriptive title (e.g., “$21 Facebook Special – Day 1”, “Medicare Standard Bundle”).

Visible for Transactions

  • When enabled, this preset can be quickly accessed on the Transaction screen by typing "preset" into the search bar.

Visible for Case Settings

  • When enabled, the preset will be available during patient case setup, under default services.

Override Case Pricing

  • When enabled, the preset will take priority over any pricing already configured within a patient’s case.

  • Use this if you want the preset's pricing to always apply, regardless of case-specific service prices.


3. Example Use Cases

Promotional Preset – "$21 New Patient Special"

  • Day 1: Two X-rays + Brief Exam

  • Day 2: Adjustment + Report of Findings (priced at $0 as follow-up to Day 1 payment)

  • Preset includes a write-off to reduce the bundled price from $100 to $21.

  • Group Medicare-eligible services

  • Configure allowable charges per CMS guidelines

a. SOAP Note Screen

  • Navigate to the SOAP note screen

  • Use the “Quick Add” button to pull up transaction presets

  • Select the desired preset (e.g., “$21 Day 1 Special”)

  • The associated services will be added to that visit’s documentation and transaction

b. Transaction Screen

  • In the New Transaction window, type "preset" in the service field

  • All available presets will appear

  • Select one to populate the services and pricing automatically

c. Case Defaults

  • While setting up a patient case, clear any existing services

  • Type "preset" to access all available transaction presets

  • Select the preset to apply a pre-defined bundle of default services for that case

  • Services in a preset must already exist in your Services list to be included. Be sure to configure services first.
