đ Overview
Setting up providers in the Providers Tab is a crucial step in ensuring accurate billing and claim creation in ChiroHD. This process connects the rendering provider with their associated NPI (National Provider Identifier) and EIN (Employer Identification Number), allowing for seamless insurance billing. Provider management includes both initial setup and ongoing maintenance to ensure compliance and accuracy.
â Step 1: Accessing Provider Settings
After setting up your location and users:
Navigate to your Live Location, Settings
Click on Providers.
Select Create New Provider.
â Step 2: Connect the Calendar User
In the User field, click the dropdown to select the providerâs calendar user â (this is the location-level user created without a login and with a calendar enabled).
IMPORTANT: Ensure that the correct Calendar User is linked. Selecting the wrong user will result in an âUnknown Providerâ error on billing green sheets and claims will not process correctly.
If the correct calendar user does not appear in the dropdown, navigate to Settings > Users and confirm a location-level calendar user has been created for this provider before continuing.
â Step 3: Enter Provider Information
The system will auto-fill the First Name and Last Name upon user selection
Manually input the 10-digit NPI Number. Use the providerâs individual (Type 1) NPI.
A group (Type 2) NPI is entered in your locationâs Office Info tab. Log into your Live Location â Settings â Office â Office Info, then enter the Type 2 NPI under Billing and Insurance.
You canât reuse one individual NPI across multiple provider records.
Enter the Tax ID Number without dashes. Tax ID Type defaults to EIN.
If the provider is billing under a Social Security Number (SSN) instead of an EIN:
Open the Tax ID Type dropdown and select Social Security
Enter the SSN in Tax ID Number
Enter the Suffix / Title
Enter the Provider Taxonomy Code (Primary), if required
If the provider has a second taxonomy code, enter it in Provider Taxonomy Code (Secondary). This applies to providers with two specialties, such as an MD/DC.
If a payer rejects claims because a taxonomy code is missing, check Uses Provider Taxonomy Codes on that payer, then confirm the taxonomy code fields are filled in here. See Setting Up Third Party Payers.
â Step 4: Verify Required Fields
Any field marked with a blue bar is mandatory and must be completed before you can submit
Double-check the NPI, Tax ID, or SSN entries to ensure accuracy
â Step 5: Submit and Confirm
Once all fields are completed, click Submit to save the provider profile
Ensuring the Providers Tab is properly configured is essential for billing insurance claims accurately
đïž CAQH Re-Attestation
Use the CAQH Re-Attestation section to track provider attestation timing and upcoming renewals.
Last Attestation Date: Enter the date of the providerâs last CAQH attestation.
Attestation Duration (Tracked in days): Enter the number of days between attestations, such as 90.
Next Re-Attestation Due: Calculated automatically from the Last Attestation Date and Attestation Duration. If the due date has passed, ChiroHD shows how overdue the re-attestation is.
Re-Attestation Complete: Click this button after the provider re-attests. It sets the Last Attestation Date to todayâs date. Then click Submit to save the change.
If no date has been entered, the section shows âRe-attestation date unavailable.â
ChiroHD shows a countdown for each provider. The indicator moves from green to yellow to red, and turns red when 14 days remain.
Entry is manual. ChiroHD doesnât connect to CAQH and doesnât verify attestation status.
đ©ș Credentialing at a Glance
Your payer and provider screens show credentialing relationships in both directions, always in sync.
On the payer screen, see every provider your office has set up as credentialed with that payer.
On the provider screen, see every payer your office has set up for that provider.
Update either screen and the other reflects it immediately.
Credentialing here is office-managed. Your team enters which providers are credentialed with which payers, and ChiroHD displays and tracks that information. ChiroHD doesnât connect to any external credentialing database or verify credentials independently.
â Why This is Important
Without correctly setting up the Providers Tab, ChiroHD cannot correctly associate:
The Calendar Provider with the Rendering Provider
The appropriate NPI and EIN for insurance claims
The correct NPI linkage to prevent claim rejections and ensure accurate payment processing
This step is critical for successful claim submissions and avoiding errors in billing.
đ Conclusion
Link each provider to the correct calendar user and enter an individual NPI and Tax ID Number before you bill. If a payer requires a taxonomy code, fill in the Provider Taxonomy Code fields. Enter the Last Attestation Date and Attestation Duration to track when re-attestation is due. Each time the provider re-attests, click Re-Attestation Complete, then click Submit.
