The Health Check Report in ChiroHD helps identify missing items on appointments, serving as a check-and-balance system to ensure your office's workflows are running smoothly. This guide explains how to access and use this report effectively.


Accessing the Health Check Report

  1. Log in to your live location in ChiroHD.

  2. Navigate to Reporting > Simple Reporting > Health Check.

The Health Check Report provides a snapshot of your office's operational health by flagging specific items that require attention. Incorporate running this report into your workflow:

  • Daily

  • At the end of each shift

  • Weekly

Regular use of this report ensures that billing, collections, and operational tasks remain up-to-date. Staying proactive is much easier than catching up on missed items.


Running the Health Check Report

  1. Open the Health Check Report.

    • The date picker defaults to today but can be customized for any range.

  2. Initiate the report:

    • Click Check All to run all available reports.

    • Alternatively, click Run on specific reports as needed.

You’ll see:

  • Reports with no items found: No issues flagged.

  • Reports with items found: Indicates areas needing attention.

Click on flagged reports to view detailed information about the issues.


Appointments Missing SOAP Notes Report

One critical report is Appointments Missing SOAP Notes, which identifies appointments completely missing SOAP notes (not even started). Draft SOAP notes are not included since they indicate work has begun.

Steps to Address Missing SOAP Notes:

  1. Run the Health Check Report and locate flagged appointments under "Appointments Missing SOAP Notes."

  2. Click on a flagged appointment for details.

  3. Select the patient’s name (hyperlinked) to open their Patient Snapshot.

  4. Navigate to Visit History to view the missing SOAP note.

  5. Click the gray box for the flagged appointment and select Create SOAP Note.

  6. Enter the SOAP note and click Submit to finalize it.

Important: Rerun the Health Check Report by clicking Check All or Recheck to confirm the issue is resolved.


Managing Draft SOAP Notes

SOAP notes saved as drafts don’t appear in the Appointments Missing SOAP Notes Report. To manage draft notes:

  1. Navigate to SOAP Notes Screen > Draft Notes.

  2. Review drafts by provider.

  3. Finalize SOAP notes promptly.

Finalizing SOAP notes on the same day as the appointment is recommended to ensure accurate documentation.


Excluding Items from the Report

The Exclude from Report button permanently removes flagged items from the Health Check Report. Use this feature cautiously:

  • Not Temporary: Excluded items are permanently removed and will not reappear.

  • Valid Use Cases: Use for issues that truly don’t require further action (e.g., duplicate charges).

Avoid using this feature to clear items without addressing the underlying issues.


Best Practices for Health Check Reports

  1. Run the Health Check Report regularly to maintain operational health.

  2. Address flagged items promptly to avoid disruptions to billing, collections, and patient care.

  3. Use the Appointments Missing SOAP Notes and Draft Notes sections to ensure all SOAP notes are finalized and complete.

  4. Be mindful when using the Exclude from Report button to avoid overlooking critical issues.

By consistently utilizing the Health Check Report, you can ensure smooth operations and accurate documentation in ChiroHD.
